Linked Accounts

I am a newbie to Sage & work 3 jobs ... took over bookkeeping for a small company that was not being served accurately by it's previous financial company.  I have been asked to delete unused accounts from the chart of accounts and now i am struggling trying to unlink an account with a zero balance (not been used in years) that I may have deleted the account it was linked to?  I am fairly unfamiliar with Sage operating language so I am also struggling with the term "module".

Is there someone who could help this sad helper of mankind?

    I'll give it a shot.

    The definition of a module is a bit of a moving target and many times is based on context.

    Under Setup, Settings, you will see the main "modules" of the program on the left side.  They roughly relate to the same option on the Enhanced Home Screen on the left.  eg. Payables includes both Purchases and Payments.  Receivables includes both Sales and Receipts.  But the Sales Module is just the sales data entry screen and it's options that include Sales Orders, Sales Quotes, Goods Received Notes, Credit Notes and Debit Notes (all accessible from the same screen).

    now i am struggling trying to unlink an account with a zero balance (not been used in years) that I may have deleted the account it was linked to?

    Technically this is not possible.  You cannot delete an account that is linked.  Therefore you cannot unlink an account that has already been deleted.

    Under Company at the left of the Home Screen, you can see the Chart of Accounts.  In there, you will see all accounts that exist.  You can also run a report from the Reports, Lists, menu to see the chart of accounts.  All these accounts exist and have not been deleted.

    You can delete accounts that are:

    1) Not linked

    2) Not used in the current or previous fiscal years

    3) Note, I did not indicate a zero balance - an account with a zero balance that has entries according to #2 above cannot be deleted

    See the message thread here that indicates how you can hide accounts from reports.  This thread does not indicate the option of Inactivating an account so it does not show up in data entry screens but can be reactivated again later so it can be used.  This is done on the account ledger in the Chart of Accounts "module".

  • Thank you so much.  It sounds like unlinking accounts so they can be deleted is a daunting process (or I am missing something or I am just dumb).  did I get that right?

  • I would think that you are not that experienced in doing setups in the program, so you might be missing something.  You are working three jobs and someone decided you were the person to do their bookkeeping so dumb is not likely.

    You haven't told us what accounts you need to delete and you haven't told us the error messages you are getting so I can't say how much work it is but in my experience, it is more tedious to do than hard.  I have stripped a company of accounts after set up before to remove payroll and inventory accounts.  It doesn't take long but you have to be organised to know what you have unlinked so you remember to delete it afterward.

    Don't forget, if you are removing all accounts for a specific module, then I would hide the module under the User Preferences.  That way you won't attempt to use it later.
