    Hi  ,

Great question! Currently, Sage 50 Canada doesn’t have a built-in feature to password protect emailed paystubs.

That said, here are a couple of options you can consider depending on your workflow:

Option 1: Manual PDF password protection

    • Print or save the paystub as a PDF using Sage 50
    • Then apply password protection using your PDF software (e.g., Adobe Acrobat or similar tools)

This article shows how to generate paystubs as PDFs: How to print using formats like PDF

And if you're currently emailing paystubs directly from Sage, this guide may also help: How to email a paystub

Option 2: Use Sage HR (recommended for secure access)

Instead of emailing paystubs, you can use Sage Payroll & HR integration, which allows employees to securely access their paystubs through an online portal.

This approach removes the need to email sensitive documents and provides employees with secure, self-service access. For more details, contact the our team at 1-877-285-2118.

If anyone in the community has implemented a workflow for securely sharing paystubs (e.g., third-party tools or automation), feel free to share your approach!

We use Paydirt (from Qlab Systems) for our larger / more complicated payrolls, including where we want password protection on the paystubs.

Advantages of Paydirt:  Automatic password protection for pdf's (paystubs and T4's) including the ability to automatically assign passwords using a variety of patterns.  Automatic batch processing of paystubs even when there are different categories in the same batch [direct deposit employees with email addresses / direct deposit employees without email addresses / employees who need printed cheques].  Extremely customizable payroll calculations.  Very good support.  Good handling of 1 employee working in multiple provinces during the year.  Ability to leave a payroll batch incomplete at the end of the day and finish it the next day.  Automatic handling of 27-biweekly-pays-per-year CPP.  Ability to properly calculate deductions even when there is a 2nd paycheque in the same pay period.  Ability to properly calculate deductions for bonuses.  Creates journal entries to import your payroll into Sage.  Unlimited years of payroll history.

Disadvantages of Paydirt:  Another program to pay for and learn.  Also setup can be a bit difficult - but the Qlab team can help with that.
