Question

Hi, 
 We are ready to submit our year end T-4 and T-4 summary. 
 We have never submitted by the " Export to Web " way. 
 We have always mailed them out or dropped off at the CRA building. 
 Could you please, send us a step by step procedure so that we can file electronically?

 Thank you for your message and readiness to submit your year-end T4 and T4 summary electronically. Below is a step-by-step guide to help you with the process:

Preparation Before Electronic Filing 
 
 Go to payroll and open the employee profile. 
 Check the Earnings tab, specifically the Last Year column, which should contain amounts for the last year. If not, perform a Payroll Year End to update the figures accordingly.

Creating the Employee List 
 
 Log in to the company with a date in the New Year. 
 Go to Edit > Payroll > T4 and T4 Summary. 
 On the Create List of Employees window, select the required criteria and click OK.

Review Employee Records 
 
 Open each employee's record to review the amounts and make any necessary changes.

Printing T4 Slips (If Required) 
 
 Select the checkbox for employees who need a T4. 
 Click Print, and follow the prompts for CRA copy, Employee copy, and Employer copy. 
 Modify T4 details if necessary before printing.

T4 Summary Printing 
 
 With employees selected, click the dropdown arrow next to the Print icon, then Print T4 Summary. 
 Provide contact details and business type information in the T4 Summary window. 
 Click Print.

Creating T4 Electronic File for Web Submission 
 
 With the correct employee list, click the Export to Web icon. 
 Enter your transmitter number or use the generic number MM-555555 if you're filing a single return and don't have a transmitter number. 
 Fill in the Reference ID, Submission number, and other required details. 
 Under the Employer Info tab, enter contact name, telephone, taxation year, and business type. 
 Click OK to create the submission file (RCTTAX.XML).

Submitting the File to CRA 
 
 Copy the XML file to a disk or CD, or if you have less than 500 T4s, you can submit the file directly via the CRA website at http://www.cra-arc.gc.ca/iref/ .
