Expenses and how to enter into sage

Hi

I am new to Sage and using it for my Massage Therapy clinic. I am using Sage to document my expenses, supplies, and how much each of my RMT's make and how much GST i charge them. I don't need a payroll option I just need to calculate for my accountant. My software- on line booking takes care of pay statements. Can anyone help me, with understanding how to log this?????

Hi Colleen, welcome to Sage Accounting Slight smile

Based on what you described (tracking expenses/supplies, GST, and how much each RMT earns without running payroll), a simple setup is:

    1. Track your clinic income + GST with Sales Invoices (even if you post them as summaries)
If your online booking system already produces statements, many clinics record one summary invoice per day/week/month in Sage (instead of every appointment), so your accountant can still see sales and GST in your reports.

Steps (high level): Go to Sales > Sales Invoices > New Invoice, add your service line(s), and choose the correct Tax Rate so GST is calculated automatically. You can also click Total Tax to review the tax breakdown before saving.

    2. Use the Sales list to quickly review and export invoices/credit notes
When you need a quick snapshot (paid/unpaid/overdue) or you want to export transactions for your accountant, use the main Sales list and the filters/search tools.
The Sales list – all invoices and credit notes
    3. Track “how much each RMT earns” using Analysis Types (like a “Sales Rep/RMT” tag)
If you want totals per therapist, create an Analysis Group (one category per RMT), then assign it to the relevant contacts and filter reports by that RMT.

      Example approach:
      • Create an Analysis Group called “RMT” and add one category per therapist.
      • Enable it for the area you need (Contacts, and ideally the transaction areas you want to report on).
      • Assign the RMT category to the contact, then use More on reports to filter by that Analysis Group/category.

Tip: This can work well whether you’re tracking RMT performance on the sales side (services sold) or tracking payouts as purchases/contractor costs (depending on how your accountant wants to see it).

Quick check so the community can steer you to the best workflow: are your RMTs employees (T4) or contractors (T4A), and do you want to track amounts per RMT based on sales billed, payouts made, or both?
