Running your year end

If you're closing a financial year, our Help Centre guides you through the process step by step.

You'll find clear guidance on preparation tasks, running the year end and optional housekeeping tasks to keep your data tidy. 

Archive your company data

When you archive your company data, the software creates a read-only copy that you can access whenever you need it.

This lets you remove older data from your live company while still viewing historical figures and reports. Archiving is especially useful at year end or when you want to reduce data size without losing important information.

Flag a record as inactive

If you're not ready to delete old records, you can mark them as inactive and hide them from your lists. 

Inactive records stay available but are excluded from reports and activity, helping keep your data clear and easier to manage.

Tip of the Month - control late entries with lock date

The Lock Date option enables you to control which users can backdate transactions to a previous period.

If you've run your month end or year end reports the last thing you want is someone to backdate a transaction which would impact your figure.

Removing old transactions

You can use the Clear Audit Trail option to remove old transactions from your customer, supplier, nominal and bank activities.

The transactions must be fully paid and if relevant fully reconciled for bank and VAT. This is especially useful if you want to reduce the amount of data you have, perhaps at the end of a financial year.

Save time with recurring entries

Recurring entries help you save time when processing regular transactions. Create the entries once, then process them together whenever you need to. Built-in reminders help ensure you never forget to process them.
