Qty in Stock v Running Total

Suggested

HI

I'm having a problem still with stock valuation.  For example, here is a product that I have zero stock for, but if I send the activity to Excel, and perform a running total, the running total shows I have -43.5 items in stock, rather than zero.

On other examples I have tried, I have stock of 10 items, but the running total is showing I have -9.

Does Sage use something other than the activity to work out stock levels?

    Hi Marky B,

The reports need to be able to see all of the data, because Clear Stock has been run, albeit back in 2003, the report is now unlikely to reconcile. There is a further complication in that "Allow negative stock" has been activated, again limiting the usefulness of stock valuation reporting.

The following article explains more about stock valuation and what affects the reporting in Sage 50 Accounts: Retrospective product valuation -Reasons why the figures can appear to be incorrect

    "albeit back in 2003"

The first transaction is dated 2004 so I believe that the 2003 figure is from the installation and is normal, so that should be ground zero. Back to my question, where exactly does   come from, because it is correct.  If I know where that comes from, I can take it into account in my Python code that's trying to fix this.

For clarification, the clear stock date is the date it was last run to, not the date that it was last run on. So if Clear Stock was run today using date 31/12/2003 then 31/12/2003 would be the date shown in Help > About, not today's date. That date is also overwritten whenever Clear Stock is run so it only represents the date last used to clear stock transactions.

The Quantity In Stock field on the product activity is updated on a transaction by transaction basis so it's generated from all of the stock transactions to date regardless of any transactions removed by Clear Stock. This is why, if Clear Stock is run, it becomes difficult to reconcile as some of the transactions that contributed to that Quantity In Stock balance may have been removed.
