Sage 50 Accounts Professional

Hi, 

We are a small charity using Sage 50 accounts Professional, there are only 2 of us inputting with 4 other users on read only.

We have found that our current package wont allow us to hold any more transactions or invoices on the system than we currently have.

I have cleaned the system to allow it to operate properly but now we are holding the max number of transactions we are permitted to 250k

and the max number of invoices 50k.

With having to clear the system down as it was running very very slow we had to delete a lot of information and archive financial information, which isn't ideal.

We have outgrown Sage 50 accounts and would like to know if anyone else has experienced the same problems or can offer any guidance or recommendations on what is the next step from here.

    Hi Mandy, 

    I'm sorry to hear about the problems you have been having with slowness in the software. As a small charity, I am surprised that the space within Sage has been maxed out even after using the data management tool. Do you know what your data size was before deleting data? 

    I would suggest trying to clear more data out  using the data management tool ( How to use Data management). The data management tool takes you through the process of deleting records and at the end it can provide a print out of everything that got deleted. I understand deleting records is not ideal, but the archive feature is available so that you can have a copy of the financial information without overcrowding your live data. 

    If you deleted a good amount of data and then within a week it had filled back up again,  that does suggest your level of processing has outgrown what Sage 50 accounts can handle.  In this case, Sage Intacct has provided many charities with the space they need to grow through automation and higher processing power.     Thank you for your response, it is appreciated.

    In response I can confirm we had more than double the allowed transactions and invoices on the system before deleting and archiving,

    We have looked into Intacct but feel this is a huge step financially for us and are looking for alternatives to this.

    We have been using Sage for some time and like how it works but just need the next step up from Sage 50 accounts.

    We are in contact with other suppliers and there are options available. I have read about Sage 200 and wondered if this would be any better?

    This seems extraordinary. The amount of work two people are doing to fill up sage must be huge.

    I would look for a local Sage consultant to come in to see your set up. The archive and Clear Audit Trail process can be done leaving only 24 months worth of transactions on your system. However, there are limitations that may apply if your data is not being looked after correctly.

    Thanks Ken,

    We are currently holding 24 months of data but would like to hold 36-48 months ideally. Jumping in and out of archived data isn't great.

    I inherited the system and not sure how the system is set up, I have made contact with Sage previously and they have helped enormously getting us to where we are - up and running smoothly again.

    I am now wondering if the problem could be at our end as I am not sure if the data on our server has ever been updated and we are currently running an older version of 29.2.

    I will contact sage and request a visit before I do anything else

    One thing I have found really helpful is to use the global option on Sales invoices. If your invoices are multi line, Sage creates a financial record for each line. If you fill in global nominal, only one financial record is created; this saves a lot of space.

    I agree with Eric, as a small charity this sounds very unusual.  I have been using Sage 50 in various different companies for more years than I remember,

    I agree with Eric, this doesn't sound quite right.  I have been using Sage 50 for more years than I care to remember in various companies and sectors, and have never come across this issue.  When you say you have outgrown Sage 50, if it is due to this transaction volume issue only (and not other reasons) then it would seem much more cost effective to seek assistance than to move software, which if you want to keep your history, will be a project.

    Having also used installed and used Sage 200, I would suggest that you take a really good look to see if your charity needs the extra functionality and therefore would justify the significantly increased cost and also the setup costs, it is quite different to Sage 50.
