AutoEntry

SOLVED

Does anyone know how to edit an Invoice once its been published from AutoEntry? This doesn't appear to be an option. Its ridiculous. Our customers have different delivery addresses they need items sending to, it's not the same address on every invoice. I cannot put a delivery address in on AutoEntry and once its published I can't seem to add it on the Sage Invoice.

I only use purchases and expenses. I can edit the delivery address of a posted invoice in Sage. I have always found the online support very useful once you get past the bot

    Hi Kim,

    Thanks for using Community Hub.

When using AutoEntry with Sage 50 Accounts, transactions are created in 50 Accounts rather than printable invoices, the transactions are single line entries on your audit trail. Address details including delivery addresses are held on the customer records.  Could you expand on your process a little, how are the original invoices generated? Can you add a delivery address at the point where they are created?

Hi Andy, Thanks for the reply. We are a small company & my director is old school, he doesn't trust anything on the cloud as if the internet is down you can't do anything. Therefore we will get an enquiry from a customer, he then quotes them using Microsoft excel, if we win the job he saves as and creates an creates an order acknowledgement. Its then my job to put these order acknowledgements, which are nett only, onto Sage into Invoices.  Some orders are 2 lines long, some 2 pages long & some depending on the size of the job are 17 pages long. I am trying to shorten the process of the long ones. I am finding since I left sage 50 that inputting these long orders on Sage cloud is a problem as too much info makes them shut or not load. Here is an example of 1 line of 17 pages long order.

EDE/001/006. 1200*300 15°Linear bar grille, standard flange, no screw hole, L bracket fixing in RAL9010.

I'm trying to make the process quicker. Our customers have numerous jobs at one time with different delivery addresses. Also if I make VAT free on AutoEntry that causes a problem.  Basically I want to be able to upload all the description info but be able to to alter the Invoice on sage, as if its a draft. I have been able to copy the original then void the original but this is a problem too. Also AutoEntry doesn't capture all of the lines so I need to be able to edit it. Herewith Lies my Unique Problem.

Thanks for adding those details Kim. Your original post was in the 50 Accounts forum, so I'll move this thread into the Sage Accounting forum now to see if the community can help. Just to clarify your use of AutoEntry, are you scanning a printed invoice / quote from Excel and then importing into Sage Accounting?

I have a shared drive we use so I save a copy of the excel document to my desktop and upload from my desktop to AutoEntry. I also sometimes turn them into pdf and email them in.

    Hi Kim,

    Thanks for using Community Hub.

Regardless of how the invoice is imported into Sage Accounting, you should be able to edit it. However, one thing to note is you can't edit the invoice if it has been paid, or it has been included in a VAT Return.

Once the invoice has been imported by Autoentry, locate it in your Sales Invoices list.
Select the invoice to go into it and then select the Edit Button.
You will see a pencil next to the delivery address, this will allow you to change it.
    Save the Invoice.

If the invoice is paid, you will need to unmatch the payment before you can edit it.

If you get any error messages or you need further help, I would advise you to contact our Technical Support Team for further support.

    Hi Steven

Thanks for reply. I tried it with a small 1 page invoice and yes I can Edit, the pencil did come up. It doesn't do it for the 17 page invoice. There is no pencil & I can't even add an delivery address. Its obviously to much data.
