Sage CRM 2024 R1 has introduced a new user interface feature called Tagging.
Tags can be considered like hashtags in Social Media but they play a very similar role to Project Tagging or Dimensional Tagging in Accounting systems. This is a way of quickly adding additional information that can be used to classify and organise data without adding a new field.
Behind-the-scenes tagging is powered by an existing feature called Key Attributes. System Administrators can decide whether or not Tagging is enabled in the user interface. If tagging has been enabled all of the main system entities (Company, Person, Opportunity etc) can be tagged.
The tags are stored in a new key attribute category called 'Project' and added to the key attribute category list. The Project category type is a 'Multiple Instance Data Category' and that means that any entity can be tagged as belonging to multiple projects. You can see in the image above this company has been tagged with the codes "SS24" and "SS25". Within the Project Category, these tags are held in a field named "Tag Name".
Creating a Group Based on Tagging Data
To create a dynamic group and use Tags in the contents and criteria, you can follow these steps in Sage CRM 2024 R1:
- Navigate to the "Groups" tab in the User Help section.
- Click on the "New" button to create a new group.
- Select the option to create a dynamic group.
- Define the criteria for the group by specifying the Key Attribute Data fields and their values.
- Save the group.
Note: You need to consider carefully the data source (view) to be used. If you want to create a group on the tags used in a company context then when selecting the tags referenced should be those from the same entity.
By creating a dynamic group with the specified Key Attribute Data criteria, the group will automatically refresh its contents each time it is opened. This ensures that the group always reflects the most up-to-date records that match the defined project tag criteria.
Creating a Report Based on Tagging Data
To create a report and utilize Key Attribute Data:
- Navigate to the "Reports" section in Sage CRM.
- Select the appropriate report category.
- Click on the "New" button to create a new report.
- Define the layout and content of the report using the report designer.
Note: When selecting the data source for the report, choose the entity that contains the Key Attribute (Tagging) Data you wish to include. In the report designer, you can add the Tag fields to the report layout as needed.
To filter the report based on Tags, you can specify the Key Attribute criteria in the report's search conditions or use the Key Attribute Data fields in the report's filters.
By following these steps, you can create a report and use Tagging data.
