Sage CRM Email Integration - Inbound Email Replies Not Automatically Tracked from Outlook to CRM

ISSUE SUMMARY:
We are experiencing a one-way email synchronization issue with Sage CRM 2021 R1 where outbound emails sent from CRM are properly tracked in MS Outlook, but inbound replies are not automatically captured back into the CRM system.

CURRENT BEHAVIOR:
- User sends email from Sage CRM using email feature ✓
- Email appears correctly in CRM as Communication record ✓
- Email copy appears in user's Outlook Sent Items ✓
- External contact receives email ✓
- External contact replies to email ✓
- Reply appears in user's Outlook Inbox ✓
- Reply does NOT appear automatically in CRM ✗

DESIRED BEHAVIOR:
- All replies to emails sent from CRM should automatically be filed back into CRM
- Email threading/conversation tracking should be maintained
- Users should see complete email conversations in CRM without manual filing

I need configuration guidance to achieve automatic tracking of email replies sent to emails originated from Sage CRM, with proper conversation threading and minimal manual intervention required from users.

Can I please get help with below questions:

  1. What is the best feasible solution for waht I am trying to achieve?
  2. What is the recommended configuration for two-way email synchronization in CRM 2021 R1?
  3. Should we implement Advanced Email Manager, Exchange Integration, or both?
  4. Are there any step-by-step configuration documention/guidance for email reply tracking?

    Hi James

This is by design. CRM does not have an inbox technically and so any inbound email would naturally appears in the user's inbox within Outlook.

If you wish you could have CRM monitor a mailbox (e.g crm@) and then get users to forward replies to this inbox and using the Advanced Mailbox options tell CRM to monitor the inbox and then apply the default communication script if an email comes in (e.g. picks up the email and if the email address is found to then file the email against the company / person within CRM).

Though in all my 19 years of doing CRM, I have always advised against auto filing due to the amount of rubbish that ends up in CRM. We did have one customer do this once, but after 6 months they turned it off and when to users deciding what emails to file instead.

Also note this is not a 'sychronisation' just CRM filing a copy of an email.

Exchange Integration is only for synchronising the Calendar / Tasks / Contacts, it has nothing to do with emails.

True email 'tracking' would be who opens it, what clicks they have done etc and thus you should be looking at things like MailChimp, an email sent out and captured on return technically is not really 'tracking' as it doesn't truly tell you much about it.
