Working with Stock Automatic Journals and Default/Mandatory Dimension

5 minute read time.

Most stock movements create journals in the GL when running the Account. interface (FUNSTKACC).  Sage X3 uses various Automatic Journals in this process.  The journal used is shown in the ENTCOD field in the STOJOU and WIPCOST tables.   Analytical information is added to these transactions, tables and journals by adding the dimension values to the transaction documents and the use of default dimensions.

Important - A dimension on the transaction document is not necessarily the value that is written to the table or the journal.

The Dimension defaults (GESCDE) ultimately decides what value is written to the underlying tables (STOJOU or WIPCOST and CPTANALIN) whilst the Automatic Journal decides which field on which table is then used for each journal created.

When a dimension is made mandatory for the company some journals must contain a value for the dimension regardless of whether it is used in that part of X3.  If no value is found a Mandatory dimension error can occur and the transaction won’t be processed.   See KB article for a good example

PO Receipts and Returns require a mandatory dimension on screen but the STKRE journal can be created without a mandatory dimension value.  A STKUV adjustment journal which is created after a Return is validated and FUNSTKACC is run does require a value for all mandatory dimensions.

Default Dimensions – How to determine dimension values

 The Dimension Structure

Dimension Types (GESDIE) - Create new Dimensions or amend a description of an existing dimension

Companies (GESCPY) – To add and remove dimensions to companies and to determine whether they are mandatory

Default Dimensions (GESCDI) – Determines which dimensions will be available for functions that are not company specific like products and suppliers

Dimensions – (GESCCE) – Create new values for your dimensions.

Default Dimensions – (GESCDE) – Determines the values used by default for all documents and tables that require dimension information

Default Dimensions (GESCDE)

The left list contains all the Dimension defaults in the system.  The online help documents a few examples of where they impact but none that impact stock journals.

Important - Default Dimension codes can impact more than one function.  Dimensions that impact stock journals are prefixed STK

Detailed look at the screen

Section 1 – Header

The code and its description is the main way to see what each code might impact.  A few like POH are clear but usually it will only provide some indication.

Section 2 – General

If you have created a new dimension that require defaults then they should be added to the Dimension Type List.  They will then be shown in the Dimensions table in the section below.

Section 3 – Dimensions

This section details where the system will try to get the dimension value from for each dimension.  If no dimension is found in the first identifier then it will try the second and third up to a maximum of 5.  If you want to ensure no dimension is entered (useful for testing which default dimension is being used) set it to None at the first level.

Section 4 – Identifiers

The last section details exactly which field will be used for each identifier.  The [M] means that it is using the value on screen.

The main identifiers I have used for PO and Stock are Product, Company, Site and Supplier.  The values for the default are then set in the Dimension section

For example if you select Site as the Dimension value then the site being used is the [M[POHFCY.  If the PO site specified on the order is GB012 then you would need to ensure that in Sites (GESFCY) your site GB012 had a default value for your dimension.

Here are some examples of the default dimensions for stock transactions.

A related article also details The default dimensions used with STOJOU

Further information on the default dimensions for manufacturing can be found in the article What are the Default Dimensions associated with manufacturing?

The best overall list of default dimensions that I have found is from the article What are the different Default Dimensions for?

Related Information

  • Purchase Orders do not create lines in STOJOU
  • PO Receipt lines only write dimension info to STOJOU. There are no CCE fields in PORECEIPTD
  • Dimension fields in PORECEIPT default from PO Header

Dimensions in Automatic Journals

The automatic journal header contains the process which causes the journal to be created

Each line of the journal contains the Dimension formulas which detail the table and field that the line will use for each of the dimensions.  These can be amended although it is not advised.

If the field that is specified for a mandatory dimension has a null value then the “mandatory dimension” error can occur when trying to process the journal.

NOTE

If the field that is specified has a value which is not in the list of defined values for that dimension then a “Non-existent dimension value” error will occur
