  • Can someone please clarify? I thought in the past we had to wait until all payroll for the year had been processed before we did the year end update but nothing is coming up this year warning me against it. Am I crazy to think we're supposed to wait??

    Are you thinking of installing the payroll tax tables and closing the year?  Prior to Payroll 2.x, you did have to do everything (including W2s) before closing the year.  With Payroll 2.x, that's a thing of the past.  You can close the year and run your W2s later and taxes are calculated based on the Check Date, so will be correct no matter which year.

    Just make sure when you go to print the 941 and W2s you change the year back to 2024

  • When closing the payroll year is the data from the 5-2-1 calculations tab for each quarter and totals moved to a new table?  Also the Earnings window?  I have a number of custom reports and queries for this data.  I contacted tech support, but the person didn't even know what I was talking about that these tables cleared out when closing the payroll year.  It is totally OK to let me know the table name, if it exists.  I regularly run SQL queries on the Sage tables so am familiar with the structure.

    There are no new tables involved.  Each payroll history file has the year and month (or check date) included in the file structure.  So the files don't actually clear, they just begin with fresh totals for the new year.  Not sure which files you are using, but PR_EmployeeEarningsHist, for example, has this file layout:

    Thanks Beth. I don't have that table in my database for Sage 100 Contractor.

    There are two tables in SQL that has the data:

    For total salary, table dbo.payrec  A query can be run in either SSMS or Excel to view/sort the data.  If your query has the last check date (chkdte) of the year, then results will have the year-to-date (ytdgrs) gross wages for each EE.

    For QTD totals for each calculation, table dbo_SnapShot.empqtd A similar query can be run.  In this case the recnum field is the EE number and then you would want to filter by the payroll year field (payrollyear)

    If you want to get fancy, then you could link the two tables in your query, this way you can select an EE number and year, and get there YTD totals for their earnings and QTD for all their calculations (DBA's)
