Year-end Webinars: You had questions? We have answers!

In December, we held year-end webinars to review Payroll and Fiscal Year-end Processing, as well as Tax Forms Processing. We were unable to address all your questions during the webinars and assured you that we would share the answers with you.  Please see the Q&A below.

Payroll and Fiscal Year End Processing Webinar Q & A:

Q: So, when we get the update notice from SAGE, it goes to the correct file/path it needs to? We don't need to try to find where it was installed originally?
A: Yes, the installers for the payroll and product updates for all currently supported versions will “see” your Sage 100 installation location.

Q: How do you handle when sick pay is on a calendar year and vacation is on the anniversary date?
A: Sage 100 offers the option to base PTO accruals/reset on a calendar year or anniversary date for each company setup in the program, but you must choose one or the other.

Q: At year end, is there a way to upload current standard limits for deductions, for instance, 401K max will increase for 2025? How does that upload into each employee file?
A: Open the deduction code in the Deduction Code Maintenance window and enter the new Standard Limit amount. Use the steps in our Sage Knowledgebase article How to apply a Deduction Code to apply the new limit to multiple employees.

Q: Are there any instructions on how to set up the new Michigan Sick Time Accrual law on the knowledgebase?
A: There are multiple states with Paid Sick Leave laws now mandating minimum PTO for employees, and the requirements mostly work the same way. Please refer to the following Sage Knowledgebase articles for examples and general instructions. Then, tailor your setup to meet your specific state requirements:

Q: Can the payroll update be downloaded after the beginning of 2025, essentially after the last 2024 Pay cycle is completed?
A: Yes, the payroll tax update can be run at any time as tax rates are kept on our tax cloud and applied according to check date. Refer to Sage Knowledgebase article What is the Payroll Tax Update Report.

Q: If the reset is anniversary date, when is it triggered?
A: Refer to Sage Knowledgebase article How to set up Time Off Accruals in Payroll 2.X version 2018 or higher.

Q: Can you go over the split pay period again? We pay Thursday through Wednesday. The last pay period this year will be missing the 30th and the 31st.
A: Then the days remaining of Dec 2024 hours worked will be included in the next payroll for 2025, which is normal and correct. Splitting the payroll using the GL Accrual option applies only to the GL postings. Please see Sage Knowledgebase article How to process payroll expense and tax accruals.

Q: Can you please show how to submit an online ticket? I can't seem to get that to work using the link from the resources page.
A: Refer to Sage Knowledgebase article  How do I create and view a Support Ticket via the Sage Customer Portal?

Q: When will the year-end IRD be released?
A: This was published on December 18, 2024. Please see Community Hub for details!

Q: How do we get to that blue screen?
A: The “blue screen” was the internal Sage screen to access our Knowledgebase. Customers can access the Sage Knowledgebase here.

Q: We do not accrue for the vacation. After a certain number of years, they get a certain number of hours based on their anniversary date, not the calendar year. Could we still use this functionality?
A: Please take a look at the options for Periodic Time Off accrual and Sage Knowledgebase article  How to set up Periodic Time Off Accrual in Payroll 2.x and higher.

Q: Is there a way to get to this from SAGE itself or is it just searching?
A: From within Sage 100, please use the Help menu and then Resources button.

Q: Was this webinar session recorded? If so, how is the recording available?
A: Yes, this webinar session was recorded and will be available Sage 100 Announcements forum in Community Hub.

Q: Can we run W-2s and other 2024 tax reports for 2024 after 2024 payroll is closed and we run the 1st payroll of 2025?
A: Yes, W2s and other tax reporting forms can be run at any time, before or after the payroll year is closed, so long as all corrections to the 2024 year are complete.

Q: Which versions of Sage 100 will be compatible with payroll 2.25?
A: The PR 2.25.0 update is compatible with all currently supported versions: 2024, 2023, 2022, and 2021 (for this final year-end). This update prepares the program for year-end forms processing in payroll and ensures correct data routing to these forms. Refer to Sage Knowledgebase article 2024 Year-end Sage 100 - FAQ.

Q: Do you have to do this update to print W-2's? Why does Sage do this, not only is it not convenient but it also costs us money to have this installed?
A:  The PR 2.25.0 update is not required for 2024 W2s, but it is always a good idea to stay up to date if possible.

Q: I'm required to do a weekly payroll. I've always just closed out my Payroll but the rest of the modules are still open. I've never had any problems. Is that still the case?
A: It is recommended to run period end processing in all modules to keep them on the current period, but it is up to the user. However, with Payroll it is critical to run the period end processing in a timely way.

Q: We have a deduction code set for life insurance at a $0 amount for each employee. Each year when I close payroll at year end, it removes those line items for each person and I have to re-add for each person. How do we avoid that?

Q: When is PR 2.25 estimated to be released this month?
A: The Sage 100 PR 2.25.0 update was released on December 18, 2024. Refer to Sage Knowledgebase articles:

 

Tax Forms Processing Webinar Q & A:

Q: Under Vendor Maintenance, Additional tab, Alec showed first, middle, and last names filled in, but not the 1099 Form Address fields. Are those address fields necessary, or does Sage pull from the Main tab if address fields are blank?
A: If an address is entered in this field it is printed on the vendor's 1099 form instead of the address entered on the Main tab.

Q: Are you able to select more than one 1099 vendor at a time, or only one?
A: Editing records in Vendor Maintenance is done one at a time.

Q: Does Box 12 need to be set up from the beginning of the year to capture the data?
A: Default 1099 box settings are best to have in place at the beginning of the year so the reporting amounts are tracked as entries are made throughout the year, but the 1099 History YTD amounts can be edited at the end of the year if necessary.

Q: Just to verify, our users no longer need to purchase the RED copies to file for 1099 and 1096 if they are not e-filing?
A: Most forms can be printed on plain printer paper, but some require a pre-perforated 4-part blank page. The official red ink forms for certain government copies of W-2/W-3, 1099/1096, etc., are no longer required when printing forms from the Aatrix Federal and State Tax Reporting. Q: Can I create a multiple 1099 reporting file with different form types, for example, NEC and Miscellaneous?
A: The different types of the 1099 forms must be run separately so that total amounts for each 1099 type can be reported correctly as well.

Q: Is Aatrix a Zenwork product?
A: Aatrix is not a Zenwork product.

Q: Will Aatrix send out the 1099s as well?
A: Aatrix can help you process your 1099s. Refer to Sage Knowledgebase article How to print and/or eFile Form 1099 and 1096 in Sage 100. Note that a year-end IRD for tax year 2024 was released on December 18, 2024. Refer to this Community Hub post for details, prior to processing your tax forms.

Q: I have a client who is limited to v2023.1 because of PM2000. How will this affect 1099s?
A: 2023 is supported for 2024 Year End and forms. Please install the 2024 IRD and review Sage Knowledgebase article 2024 Year End Processing Resources for Sage 100 before running 1099s.

Q: We have a payroll company that processes our payroll and W-2s. We do our 1099s internally. We are based in Pennsylvania. When I go in to generate our 1099-workfile in Sage, it asks for the state, and then our state tax ID #. We have one, but the Payroll people use it and when I file the 1099s it rejects them when I file it through Aatrix as the state number was already used (by our payroll company). In the past, I have had to obtain a new number from the Commonwealth of PA. What is the best way to get my 1099s through and accepted by PA?

Q: Are the updates to print 1099s available now?
A: Yes. The year-end IRD for tax year 2024 was released on December 18, 2024. Refer to this Community Hub post for details.

Q: Does this have to be done on the server or the workstation?
A: Tax Reporting forms processing should be done on the workstation. Sage 100 program updates should always be installed to the main server install but can be run from the workstation.
