The impact of Read-only mode on Sage 300 upon the expiration of the Subscription Licenses - AR Module

Following on from an earlier post about Sage 300 Subscription Expiration messages, we have subsequently received a number of questions related to what the effect of read-only mode entails. As we have been unable to obtain anything documented in this regard, we did some internal testing in support and will be posting our findings for each module. Herewith our findings for the Accounts Receivable Module.

  1. In read-only mode the following 3 Customer Reports will no longer be available…
    • National Accounts
    • Statements / Letters / Labels
    • Labels

  1. Under A/R Customers, all options besides National Accounts will still be visible. Within screens, all buttons normally visible such as SAVE, ADD, DELETE, etc. will however be removed with only the close button still visible.

      
  1. In read-only mode the entire Periodic Processing menu with all options will no longer be available.



  2. Under the Setup Menu, all options besides Salespersons, Items and Optional Fields will still be visible. Within screens, all buttons normally visible such as SAVE, ADD, DELETE, etc. will be removed with only the close button still visible.



  3. Likewise, all Setup Reports will be available excepts Salespersons, Items and Optional Fields reports.



  4. Under the Transactions Report menu there are certain reports that are no longer available such as “aged” reports which create temporary records in database tables when executed. In AR these are…
  • Deposit Slips
  • Customer Transactions
  • Item Sales History
  • Aged Trial Balance
  • Aged Retainage

    

  1. All icons besides the Post Batches are available under the Transactions Menu but again only the close button will be visible with most buttons normally visible removed.

  • Thank you for this research. It seems less than obvious that aged trial balance wouldn't be available. So, the bottom line is, for this to be truly useful, the customer has to be willing to make custom reports in a pinch. If I were designing this read only mode, I would have disabled the smallest number of reports possible without allowing new transactions to be created. Who cares if temp records are added as long as they are not "real transactions". 

  • Hi  great advice, I didn't think about trying to add new custom reports within System Manager once a system has expired entitlements.  We re-assure clients the data remains and anything missed can be "dumped" out of SQL and transformed as a one-off for archiving if required...however achieving this via custom reports would be much more elegant.  Thanks again!

  • Thanks   - Not sure if this has been mentioned somewhere however all data remains available therefore most of the missing reports can be replaced with custom reports if required.  

  • Hi  this article and subsequent upcoming series is very much appreciated as we initially made this discovery the hard way.  After initially advising clients migrating to Intacct that they would retain Read Only access to their Sage 300 data, we discovered its a limited form of Read Only with many reports and functions disabled.  Having exactly what will and will not be available in Read Only mode documented will be very helpful, so again, very much appreciate this information.  I'll also add its great to be able to explain the technical reason to clients why some screens have to be made unavailable e.g. that Aged Transactions reports rely on writing to a temporary table therefore its understandable they're no longer available.
