Bank Reconciliation- Sage 300

Hello,

My client uses Sage 300, and we have an issue with the bank reconciliation. A bank withdrawal entry was posted, then reversed the transaction when we realized it wasn't needed. The issue is that the withdrawal item still appears as an outstanding item in the last posted bank reconciliation but is not visible in the current reconciliation to clear.

The GL balance is higher than the bank balance by this "outstanding" withdrawal amount, so once it is removed from the reconciliation module, the GL will agree to the book balance.

Any suggestions for how to resolve this would be greatly appreciated!

    Hi Wendy P.,

    I think perhaps you reversed the withdrawal in a future reconciliation period than the one you are currently reconciling.. 

    I am also presuming that you reversed the transaction via Bank Transactions - Reverse Transactions icon rather than simply reversing the GL Batch in General Ledger?  

    When you reverse a payment in Bank Services, there is a field "Reversal Date" which defaults to the currently logged in Session Date.. 

    if the payment is for a previous period than the session date (which is a fairly common process with Bank Rec as you most likely are reconciling the previous month, than you need to change the reversal date to match the period in which the payment was maid, otherwise you will find yourself in the situation where the original payment is technically still "outstanding" as the reversal was done in a "future" period.  this creates the scenario that I believe you are currently in.. 

    The only thing that needs to be essentially "fixed" is the Bank Services side as both General Ledger and your AP Subledger should reflect correct totals.. 

    So the easiest solution is to just enter a Bank Entry Deposit in the correct (prior) period as currently that month's Book Balance would be understated by the amount of the reversed payment, and then enter a second Bank Entry Withdrawal type in the period in which the Reversal was actually done (ie. the reversal date from the original Reversed transaction).. 

    For both Bank Entries, you can select the same account as is linked to the Bank Code as you don't actually want these two Bank Entries to actually affect the GL Balance.. Essentially both transactions will Debit and Credit the Bank Account resulting a net change of zero.  

    But this will allow you to mark the entries as cleared in Bank Reconciliation to allow you to balance your Book and GL Balances..

    Many thanks for your thoughts and suggestions.

    I did reverse the transaction through Bank services and confirmed it has the same period as the original entry.

      

    This item is still reflecting as outstanding in the bank reconciliation but doesn't appear as a reconciling item in the reconciliation tab itself.

    That item is the difference between book balance and GL balance.

    We've tried clearing this through bank services by entering another Bank Deposit and Withdrawal entries in January without success. Any other suggestions for how to get this cleared in bank services?

    is it possible you didn't post the GL Batch that was created as a result from the reversal?

    Good morning, DCrampton,

    Actually, the bank entries wouldn't post to the GL since the transaction impacted two control accounts (cash and AP), so I then had to do GL JE through the suspense account. I did reverse the original bank entry in the banking module (as you can see above), but it is still reflecting as outstanding.

    Any other thoughts for how to clear/ delete the outstanding withdrawal still pending?

    Is it possible to open up a support ticket with Customer Support on this issue?  I still believe then that your reversal was done with a Reversal Date in the future peiord.. the only way to know for certain would be to check the BKTRANH and BKTRAND tables in the database and specific look for Status = 4 (reversed) and see exactly what Rec Period it was posted to.. As for the GL Transaction, GL JE's don't touch Bank Services at all and if you selected the GL Account linked to the Bank Code and posted a transaction directly in GL it would throw your bank recociliation out of balance by that amount. 

    But at this point now, we can't troubleshoot this via  this forum.. it's a Customer Support issue.
