TRACKING NON-FIXED ASSET EQUIPMENT IN SAGE FIXED ASSETS

Hello,

We're implementing Sage Fixed Assets Depreciation and Tracking. Does anyone have suggestions on an efficient way to keep non-fixed asset (no depreciation expense) equipment in the same Sage FA company as depreciating fixed assets? We're hoping to find a way to make this work smoothly while not ending up with a mess of comingled non-depreciating and depreciating equipment that will create a depreciating calculation, reconciling, and reporting nightmare. Initial Sage FA Support suggestions are to create a separate company within Sage FA and we don't like that option.

    Hello Rolando,

    When you say non-depreciating assets in Depreciation, to me, that just means an asset with the Depreciation Method of NO. These assets will appear on reports but will never accumulate depreciation.

    If these assets are entering into the Depreciation side, there would be no way to avoid the comingling. You could use Groups to limit their appearance on reports or the Asset List, but there will be there.

    However, if you enter these non-depreciating assets into the Tacking program, they do not appear in Depreciation unless you go in to the <All Incomplete Assets> group and save them and at that time they will appear in Depreciation and reports, etc.

    So, enter the non-depreciating assets in Tracking and if they are not saved in the Depreciation program, you will not see them in Depreciation.

    Hi Delray, thank you for responding. I'll clarify. What I mean by "non-fixed assets" is equipment that was not actually recorded on our books as a fixed asset. We want to utilize Tracking to keep an inventory of not only our fixed assets, but all of our other equipment that was expensed when purchased. If we scanned all of our expensed equipment into Tracking, it would automatically end up in Depreciation as an incomplete asset. Over time this list of incomplete assets would grow to an immense number in Depreciation. Which I don't want because it would cause an issue identifying new fixed assets entering Depreciation that do need to be saved and that should accumulate depreciation.

    I did understand that to be the case and yes, that group could get very large over time, but without create a different company, may be just in Tracking, for non-depreciable assets there would be no other means to prevent that.

    Since assets in Depreciation and Tracking are two sides of a coin, I suppose, in Depreciation, you could delete incomplete assets as they come in, and assign book information to those which will accumulate depreciation but, since there is no undo of a deletion, that too could be tricky and cause issues over time.

    The safest course would be to create a Tracking only company for these non-depreciable assets.

    For equipment that was scanned into Sage FA through Tracking, then automatically appears in Depreciation in the All Incomplete Assets group; can it be deleted from Depreciation while still in the All Incomplete Assets group? If so, can it be done within Depreciation and/or Tracking?

    Ok, interesting question, since it has been a while since I even looked at the incomplete asset group and it turns out that, no, you cannot delete assets in the incomplete asset group. You need to populate some value in the asset and save the asset before an asset added in Tracking can be deleted in Depreciation.

    That would be the process, to delete these non-depreciable assets added in Tracking in the Depreciation, there is no “and/or”, it is just one side or the other where you do not want it to appear. To delete an asset from Depreciation and Tracking is to completely delete an asset.
