Rejected invoices

When a client rejects an invoice they request that we adjust the invoice and re-submit. Is there a way to edit an invoice and change the number? I have been unable to change an invoice number. How do you handle rejected invoices?

    If they are rejecting it, you should not have to change the invoice number. Nor would you sort of want to. Are they rejecting it a second time as a duplicate invoice number?

    Generally this sort of request is due to an electronic billing EDI vendor requiring a new number.  In nay case, you can change the number by using the opposite of the actions taken in this article, or using step 2 in it.

    How to re-use an invoice number on a bill.

  • When an invoice is rejected it usually needs corrections made and then re-submitting. What process would you suggest on doing this? Is there a way to create a whole new bill using the time slips previously entered and billed?

    For me it depends why it got rejected. If it is something small that I can fix by editing the TXT file, then I do that.

    If it is something that is going to change the amount of the invoice, then I would clear from Audit Stage or Undo the bill if it has been Approved.  Make the changes and re-export. 

    It is likely to reuse the invoice number of the cleared bill. Which is usually not a problem since the first on was never accepted. But if it is a problem, then I edit the invoice number in the TXT file to add a B to the end of it.

    Those two approaches usually get us over the hump. :-)
