Our rates increased effective January 1, and now that it is February, I need to get these rates entered across the board for our clients. What is the easiest way to do this?
Assuming you are using rate levels for timekeepers that are assigned to the matters, you will need to change each rate timekeeper rate level. Once changes, there is an ability to update prior entries. BUT please make a backup first and proceed with caution if you are not familiar with this process as it is easy to change things you didn't mean to change.
Note also that changes will take effect immediately for all new time entries on all matters.
If you are using override rates or a setup other than rate levels the change is more complex.
A consultant like myself can help with this process. There will be a charge but it may help make the process smoother.
NSTICE Unfortunately it is impossible for me to accurately advise you on how to change your rates because I have no idea how you are assigning rates in Timeslips. Timeslips has a very rich capability when it comes to assigning and using various rates, one size does not fit all when advising about changing them.
What I would do first is run a report of the Rate Rules including the default rates and see where the rates are being pulled from. Then look at that data and see if there is one common rate rule that is used more than others, and if there are any exceptions to that rule already in the database. Once you know where the rates are coming from, you can decide whether you want to change the exiting rate, or keep that old rate for some clients and have a new rate rule for clients going forward. Make a backup, then, make your changes and use the update wizard to have it change any slips since January 1. Run reports to confirm that the changes are as you intended. If not, restore the backup, rethink it and try again.
I would love nothing better than to be able to tell you to go to a certain place and make a change but I'd be shooting in the dark/quessing at how you do rates and experience has taught me that that's usually not a good plan.

Old muscle memory kicked in and I remembered what I did last time around. As there are 6 Rate levels, I entered the new rates under levels 5 and 6 (6 being a 10% discounted rate), then changed the default template to those new rates. Then I exported the rate information to the clients, choosing them as I went to make sure they got the new rates. I'm sure I'll have some fixing to do, but this at least gets the new rates across the board.
NSTICE , nice work.
