Don't get locked out: Why your payroll needs an Access Control Succession Plan

In today’s digital workplace, cloud-based payroll systems offer flexibility, efficiency, and real-time access. But what happens when the one person with full administrative access leaves your organization?

Unfortunately, we’ve seen this scenario play out too often: a company’s payroll administrator resigns or is unavailable, and no one else has the credentials or permissions to access the system. This can lead to delayed payments, compliance issues, and unnecessary stress.

 

The Problem: Single Point of Access

Many businesses operate with a single administrator account managing their payroll system.

While this might seem efficient, it creates a single point of failure.

If that person leaves without transferring access or setting up a backup user, the organisation is effectively locked out of its own payroll.

 

The Solution: Implement an Access Control Succession Plan

To avoid this risk, we strongly recommend putting a succession plan in place for your payroll system. Here’s how you can do it:


1. Designate a Backup Administrator

  • Assign at least one additional user with administrative privileges.
  • Ensure this person is trained and familiar with the payroll system.
  • Rotate responsibilities periodically to keep both admins up to date.

2. Document Access Credentials and Procedures

  • Use a secure password manager to store login credentials.
  • Maintain a written process for accessing and managing the payroll system.
  • Store this documentation in a secure, shared location accessible to key personnel.

3. Use Role-Based Access Control (RBAC)

  • Assign roles based on job responsibilities (e.g., Admin, HR, Finance).
  • Limit access to sensitive features unless absolutely necessary.
  • Regularly review and update user roles and permissions.

4. Schedule Regular Access Reviews

  • Conduct quarterly audits of who has access to the system.
  • Remove access for former employees immediately.
  • Update roles as team members change positions or responsibilities.

5. Plan for Emergency Access

  • Identify a trusted executive or IT lead who can be granted emergency access.
  • Set up a protocol for regaining access in case of unexpected departures.
