Good day,

I have a leave rule set up in our system that starts accumulating leave days from the employee’s date of employment. However, we do not wish for leave days not taken within a cycle to be deleted. Currently, the system automatically deletes unused leave (please see screenshot attached).

Could you kindly advise how I can configure the system to prevent the deletion of unused leave? At present, I need to manually add the leave back, which is not ideal.

    Hello .

    You will need to review your Leave Control setting for the specific leave line, to see if there is a carry-forward rule.

    To access Leave Control: From the Main Menu, go to Leave, then select Leave Days Control.

    In most instances, to keep track of leave cycles, users define an  additional leave line, where the leave is moved to a new line once the cycle is complete. You can also define clearing rules for lines where the leave balance remains on the leave line.

    Below is an example of a leave setup:

    This is just for illustrative purposes, and is not intended to be a guide to change your setup.

    • Annual leave - If there is a positive leave balance when the new cycle starts, the balance is moved to leave line 05, any negative leave balance remains on leave line 01
    • BCEA C/F leave - after 6 months after the leave cycle stated, the leave not taken is moved to lost leave
    • Leave line sequencing is applied

     Due to the complexity of leave rules and financial risk for a business, we recommend that you contact your Business Partner to review your current leave setup and assist you with applying and testing the setup changes. 

    Take note: Any adjustment done in the current period, will only be effective from this period, and cannot be changed to be applied on previous clearing. Global activation of carry-forward values must be applied if applicable on all employees. Leave carry-forward rules can only be tested starting a new pay period.
