Customer Invoice shows as paid but can't find it in receipts

I have a customer payment to post in receipts but it didn't show as an available invoice to pay.  When I looked up the invoice, it's showing as paid already but I can't find a receipt.   Is there somewhere else, I should be looking for the payment?  This is obviously an error in my A/R module so I need to be able to correct it so I can properly post the payment.  Does this mean that my database may be corrupt?

    If a payment for a customer invoice is not in the Receipts module, it must be in the Sales module.  Lookup the invoice and see if it says Pay Later or Paid by Cheque, Cash, VISA, etc. as the Payment Method.

    It says "Pay Later" but is marked as PAID in bold black letters like it would show if I entered a payment in the receipts module.

    I'm making some assumptions here because you have not fully described how you looked up the receipt in the Receipts module.  Did you drill-down to it from one of the reports like the Customer Aged Detail report?  Or did you open the Receipts module, click the lookup button, make sure the date range matches the possible date of the receipt and it didn't show up to select?

    If you did the latter, then I would run the Customer Aged Detail report and double-click the payment line for the invoice and see what happens.

    The only other reason I can think of that an invoice is marked paid but no payment has been posted is because the total of the invoice is zero dollars, but I doubt that is the reason because you are trying to post a payment and haven't mentioned it is worth zero dollars.

    Thank you for your suggestions. I've tried them without success.

    Originally I opened the receipts module to post a payment but the Invoice wasn't showing up as an available invoice to pay.  I then looked up the invoice via the invoice number under the Sales Invoices module and that was where it was showing as "PAID".  The amount is not a zero and the payment method is showing as "Pay Later".  I have gone through previous payments/receipts to check if I incorrectly selected that invoice for a different payment and it is not showing up in any of my receipts.

    I figured I'd just recreate the invoice and delete the one that was showing as paid so I copied the invoice & created a new one using the same invoice number.  Then looked up that invoice number in the Sales Invoices module which is showing two of the same invoices and now both of them are showing as NOT paid. 

    Only one of the invoices is showing up in the receipts module available to post a payment to.  I posted the payment and lo and behold, now both invoices are showing up as paid!  I deleted the payment, deleted the current invoice that I copied and the original invoice is still showing up as "PAID"  When I attempt to reverse that one, it's giving me a message "this invoice cannot be reversed because it's been cleared from your company data"

    I am afraid at this point there is no way to help from a distance.  Maybe you could look for a consultant in your area that can have a look at the actual reports and data.  With all the changes you have made, it's hard to figure out what might have happened, but at this point it sounds like you need to track the original invoice in the reports to make sure it is not increasing your revenue by being posted twice without being reversed.  Tracing through your General Journal report will help sort that out.  You may also want to confirm that your bank recs have not changed.

    At this point, using the Customer Aged report to find the information may not work anymore.  I use that report to find the invoices and the payments, if made, are always right below the invoice.  Double-clicking the payment will take me to the Receipts module if the invoice was posted as Pay Later.  Unfortunately with all the changes, the information is not likely to be on that particular anymore because the programmers remove that information from the reports once reversed.  You will have to find them in the journals.  Once you find the original, search the rest of the report (run it for the whole year), for the journal entry number of the original invoice or receipt.  Then you will find the reversing or correcting entries.

    Thank you for trying to help me!  I did go through my Customer Aged Report and didn't find what I was looking for so that's why I thought I'd duplicate the invoice and then delete the one that was showing as paid but that didn't work out as planned.  When I have time, I'll have to go through my GL & bank Rec.  

    In the meantime, I've re-entered the invoice with a different invoice number so that I can post the payment.  The bank rec & GL should show the duplication.

    Same here.  I posted an invoice and when I go to post a payment against it, it states that I already have an amount paid against it.  Although when I pull up my receivables aged, there is nothing showing against the invoice.  Let alone in my ledger, there is nothing, but somehow it states $5900 was paid to the invoice.  Ive looked for wrong dates, etc..

    When you see the payment in the Client Aged Detail, double-click it and see what it says.

    1) If it gives you an error like no data to report, then the Paid by option on the invoice was changed from Pay Later to Paid by some payment method at the time of sale or the total of the invoice was zero dollars.

    2) If you get the Receipts data entry screen show up in lookup mode and you have the wrong transaction, then you are likely using one of the versions of Sage 50 that has a bug in the Receipts/Payments modules that cannot properly lookup a transaction from a drill-down action on a report.

    3) In the Receipts module, you can look up a receipt if it was posted in that module.

    4) There is also a General Journal Report that will show only entries posted in the Receipts module.  Do you see the entry there and can you double-click it to get the correct entry?

    As I said in a post about a year ago above, it is hard to diagnose these types of problems without seeing the details.  It would help to see the Client Aged Report for that customer showing the invoice and a couple of invoice lines above and below if they exist and also the invoice data entry screen itself (just erase any confidential info).

    Another possible is that the customer was added as a one-time vendor, maybe with a name that is spelt slightly different. These always process with a Cash paid invoice.

    Hi Audrey and when it says it is paid, does it show an entry in your Bank Account GL as a deposit?

    Showing in Receipts after drilling down in Client Aged Detail, not sure why it would not show up when searching in the Receipts module.
