Project allocation on Sales Orders

SOLVED

I enter sales invoices as sales orders initially. Some of the orders have multiple projects. But there is no column to allocate individual lines to a project. Only the entire transaction can be added to a project.

Does anyone know if there is a setting available to add the project column to individual lines on the sales order? The user settings box for 'always apply allocation to entire transaction' is unchecked. I've added a screenshot of the form. As you can see there is no column on the line to allocate to a project. Thank you.

    Hi ,

To address this, you should first ensure that your Projects module is active, as it could be deactivated or hidden. You can activate or reveal it by going to Setup > Settings > Company > Features and checking the Project (or Job Site) checkbox under 'My company uses'. It's also possible that the Project module is named differently in your setup, such as "Divisions" or "Job Sites." If so, you can locate this under Setup > Settings and adjust the name accordingly.

Once the Projects module is visible and active, you can follow these steps:

    1. Invoice your sales order. Within the invoice, you'll have the capability to allocate individual items to different projects.
    2. If the Projects column is not showing up on your invoice, you can add it by navigating to View > Customize Windows > Columns and checking the Projects box.
    3. For allocation, double-click in the Projects column or use CTRL+SHIFT+A on an invoice line item to open the Project Allocation window.
    4. In the Project Allocation window, you can assign portions of each item to different projects by amount or percentage. This setting can be configured under Setup > Settings > Project/Job Site > Allocation.

For detailed instructions, please refer to the articles on allocating a project to a quote or order, allocating to Projects in Payables, Receivables, and Payroll, and what to do if your Projects module is missing.

I hope this helps you move forward with your project allocations. If this resolves your concern, please mark it as verified :)

Sorry but the program does not allow project allocations on a line by line basis on Sales orders or Purchase Orders.  You can only record a project on the entire order.  There is no real way to get around this other than put some notes in the line description if you have room to tell users which project is applicable when it is turned into an invoice.

Thank you! I thought maybe I was missing this setting somewhere. Good to know that the only solution is to allocate multi projects once the sales order is turned into an invoice.

Hi Erzsi, a side question when you saying that the Project Module may be named something else.  How do you change the names of the programs?  Our payroll one is called Employees & Payroll and I would like to change it to Payroll & Employees.  Can you tell me how to do that please.
