Accounts payable posted against a receivable

Hi all - got a bit of a strange dilemma here...

We have a customer that owes us some money (say, $10,000) and they have been very late to pay us. We also owe this customer money ($12,000.00), so my boss has requested we send a cheque for the difference of $2,000 to them, therefore taking care of both the receiveable and payable aspect.

Makes sense, but how on earth do I post this?

    You should have an account called Contra or Suspense or something along this line . Ideally it will be in the G/L 1000 range of nbr and at the very top of chart of account. This account is for putting things in there that you will need to clear out later but just not sure where you want to put them yet. Being at top of balance sheet helps you to see if there is a balance in there that still needs to be worked on as this account will always be at nil balance when presenting financial stmts and for year end..

    Now this account can be set up as a bank classification. In A/P chq module change to bank to this contra/suspense account and enter current date using chq nbr as something like A/RInv#1234 or A/R Bal @current date. Then enter the 10000.00 to pay. Now go into the A/R receipt module and change bank to contra/suspense acct using same date and Chq nbr something like A/PContraCurrent Date and enter 10000.00 as amount rec'd.. When this is done take a look at your contra/suspense account - it should read as a nil balance. Your customer balance should now read nil and your vendor balance should read as 2000.00 to pay. I would suggest you print off a customer statement showing the transactions to send along with chq. If this works please put a check mark in the box above for 'suggested answer'.
