Emailing groups

SOLVED

I upgraded yo Sage 2016.3, now my emails to groups no longer works. I use Outlook 365. It all worked until the upgrade so "blaming Microsoft is not an option. Furthermore I am the CFO and not a tech nerd, thus I do not care what the problem is I simply want to know (a) when it will be fixed and (b) is there anythin I need to do on this end to fix this

    Well... if I was a techno-geek asking you why I "had to pay more tax this year just because it was 2016", how much could you tell me, without some context and detail? 

    Maybe I meant property tax and my instalment payments had changed?  Maybe I moved to another province?

    I could tell you more about how Email works, than someone not tied to a chair would sit and listen to.   But this forum is primarily peer-to-peer, so while some of us are certified techno-geeks, most don't work for Sage and we aren't psychic, or we would have sold our tech stocks before the crash.

    If you put it back the way it was, it will work the way it did.  So back to the certified (or certifiable) skill set, if you post more details than "emails to groups no longer works", hopefully someone can help:

    How were you sending emails to groups?   I thought that Sage 50 releases before 2016.3 did not have this capability.

    Were you using a Group alias in Outlook on the workstation, or using one on your company email account / virtual Exchange Server? 

    Can you still, today, send email to these groups from Outlook?   From your WebMail?

    (If the setup changed from sending through an installed Outlook setup on the desktop using MAPI, and now you're sending email (via the new 2016.3 SMTP capability) directly to the server, the group name is meaningless to the server.)

    What error message, if any, are you seeing?

    For a number of years we have been able to use an Outlook Distribution List name as the email address in the customer ledger to get around the fact you couldn't use multiple email addresses in that field. This way we can send to multiple recipients all the time.

    But as Martin has said, it doesn't work in 2016.3. It works in 2016.2 but not since the update. I can't believe Sage would take away the option. The message just says "The following email addresses are invalid: xxxxxx where the xxxxxx is the Distribution List name.

    I haven't downloaded and installed the email patch but I doubt it would help with this issue.

    I can't see how a (non-Exchange) server-side distribution list would function any differently than a 'real' email address, but strange and wonderful are the ways of Microsoft and Office 365.

    If there is a space in the distribution list name, the patch may help. But I don't have a test rig to know for sure.

    I think the issue is a little lower level than that. I haven't heard back from Sage about whether the patch corrects this or not, but I suspect someone put some email address syntax validation on the send email dialog that doesn't find the typical @ and . in the email address name.

    You can now put two or more (if they fit) email addresses in the email field and it will send out properly. That is an undocumented new feature with this version as well.

    I appreciate the suggestion, but that is a poor substitute. - Sage seriously dropped the ball here and compensation for this should be included

    I have been emailing invoices to groups for several years and upgrades without incident. This is an error that only occurred with 2016.3. Once the files are upgraded espcially with tax codes etc, goping back ios not an option. Sage needs to fix this error

    The newest patch does not fix the problem either. As posted earlier, you can now magically enter two email addresses in the email field of the customer record, but only if they 'fit'. Email to an Outlook distribution group does not work - Sage does not interpret the group name as a valid email address. Given this is a documented method (number 3 actually) to sending invoices to multiple recipients I think it should be fixed in a hot-patch.
