Sage 50 Premium vs Sage 50 Accountants Edition

Sorry if the following seems basic - I am new to the world of Sage having been a QuickBooks user for years.

I have been asked to assist on a project where the client is currently using Sage 50 Premium.  The Sage file is stored at the company location and they allow their offsite bookkeeper to access remotely.

We currently use Sage 50 Accountants Edition.

I did a backup off the Sage 50 file at the client location, thinking I could restore back at our office into the Accountants version, however it is telling me the backup cannot be done.  Is this because Premium is higher than the Accountants edition?  How can I get a backup of the company file so we can save it locally?

I was at the company location yesterday and I believe I was able to add my email as an add'l remote user but I never received an email from Sage showing me the invite to become a remote user.  What are the steps to enable an additional user remote access capabilities?

Finally, if the company does not continue its annual software/payroll service renewal they were told by Sage that the company file will then become a Read Only status - can remote users still access if it does change to read only...?

  • I don't have any clients sharing files with me through the Remote Access service so I can't address those questions.

I think of the Accountant's Edition as an umbrella program because it can open any of the three different end-user version files and it will have the exact same features as your client (plus two or three extra).  If you open a client's Pro file, you only have Pro features.  You will not be able to add departments for example as that is only available in Premium and higher.

however it is telling me the backup cannot be done.

I personally have never seen an error message indicating this.  The exact text of a message is important and can be used to search the Knowledgebase.  If an article exists for it, then the text helps find that article.

A backup may not be able to be done because you did not get into single-user mode but that usually results in a grey menu option, not a message indicating it can't be done.  You may have to turn off sharing to get a backup but I don't know for sure.

Otherwise, old school backups still work.  Both the *.sai file and *.saj folder are required for use.  I would close the file on the computer you are one, then wait a solid minute before doing the backup.

    1) Click on both the *.sai file and *.saj folder with the Ctrl key down and then right-click one of them and send to compressed zip folder

    2) Just copy the *.sai and *.saj folders to a memory stick

    3) You can also get into uploading them to your DropBox, etc.

Please note that I don't know for sure I have ever opened a file that was shared on the client's computer.  I've never had a need to look for that kind of thing.  It is possible that if the file was shared at the time of copying, you may have some issues at your end but only someone with experience with this can tell you for sure.

I use backups from clients all the time with my Accountant's Edition.  We get mostly Premium or Quantum files but sometimes Pro as well and we do bookkeeping in Pro files directly on our system.  Most of the time the backups are *.cab files transferred to me via internet.  Sometimes we have to pick up zip files or even uncompressed files from clients and put them in a shared DropBox to get them to us, etc.
