Changing account numbers & account names

We have a revenue account, 4110 Tire Revenue.  It needs to be changed to the following: 4110 Labour Revenue.

The problem is that we have 5 years of historical data under 4110 Tire Revenue.  How do I change the account to the above but keep the historical data for Tire Revenue...?

    If your accountant as the ACCOUNTANTs  version then they can use the MERGE RECORDS feature to combine the two accounts. If not you can contact one of us consultants

    You can type over the name "tire revenue", change it to anything you like, anytime.   No change will be made to the data, or anything else related to the G/L account.  

    4110's history would stay accessible under 4110. 

    If I understand you though, you want a new account '4110 Labour', and you want to renumber 'tire revenue' so it becomes as '4115 tire revenue', with all the lookup history in the 'tire revenue' account.   For that, locate a Simply Accounting partner:

    So far you have only mentioned that account 4110 needs a name change.  You can do that with your version any time you want.  However, you have not indicated clearly what the issue is with the 5 years of history for that account.

    Are you saying that 4110 does not currently exist in the current chart of accounts?  If so, you can enter it into the current chart of accounts and name it anything.  Your older Income statements from Reports, Financials, Income Statements will still show the old name.

    If you have posted to 4110 in the last three years, then you cannot remove that account and reenter a new one using the same number.  So your best bet would be to add a new account with a different number if you do not wish to mix the information.

    Or as GWG indicated, do you want the old 4110 and the new 4110 to be exactly the same account?  If so, then you just need to rename it, and merging is not necessary.

    4110 would have to be a new name.  The old 4110 will have to change to 4115 but what about the historical data?  Does it stay with 4110 regardless of the name of the account?

    If you had your accountant or a consultant change the number to 4115, all the data follows.  The new 4110 that you can create yourself after that, will be separate information and will show on a different line on the income statement.

    Don't forget changing the number is not a name change.  Changing the name is not a number change.  The number dictates what account is what, the name can be anything at any time.  You can change the name right now to Oil Revenue but you will still see Tire Revenue in the historical reports.

    Changing a name will only change it going forward.  Your reporting for historical reports will still have the old name if you run it from Reports, Financials, Income Statement or Balance Sheet.  If you run multi-period reports, then it will usually pick up today's name for the same account number if all you do is change the name.

    I would suggest you try taking a copy of your file and testing what you want to do.  Then run the reports you are interested in on a regular basis.  If that doesn't work for you, you will know better what you want to do and then you can talk with your accountant or consultant about the options.

    But Simply will not allow you to change the account number once there are transactions in it - not that I know of anyway.  :(

    Someone with the Accountant's Edition can do it as long as you are running the same minor version they are.

    and create an account '4115 Labour'
