How to switch from services to inventory?

When my boss started using sage years ago he entered all items as services. Now years later sage 50 Canadian edition we want to actually have a inventory and everything is entered as a service and I cant change it to add inventory.

Is their a way for my to convert it from service to inventory or do I have to start from scratch ?

If I have to start from scratch how do I go about doing this ?

    You need to have the database in Single User Mode.

    And the User Rights to the Inventory Ledger would have to include 'Modify'.

    They do, But the option to change from service to inventory is still greyed out. is still greyed out

    If the database is definitely in Single User Mode, other things I know of may prevent making that change are that the item is on an open form in another window, or there are open Purchase or Sales orders for that item.

    To make sure it's not a user rights issue, have you tried changing the setting while logged in as the 'sysadmin' user?

    Which 'Edition' (Entrepreneur / starter, Basic / Pro, Pro/Premium, or Enterprise/Quantum) and 'Version' (2008, 2016.2, 2017.1) are showing in the Help | About____ screen?

    Sorry I am not at that computer. I logged in as system admin and looked at the user setting making sure inventory modification was enabled. I thought that's what you meant. Not sure what you mean by data base in single user mode.

    The Sage 50 Company File is a data base.  The option is in the File menu.  Having everyone but one logged out is not 'single user mode', you have to go and change it.

    If the database is in 'multi-user mode', backups and most list changes are locked out - even if there is only one person logged in.   And other logins are prevented.

    Single User Mode prevents other access to the database.  For analogy, there's a hood switch on our car that prevents the remote start from firing up the engine during an oil change, or when fingers might be near the pulleys.

    Remember to put the database back in multi-user mode, or to close Sage 50 before you leave.  I've made it a habit to hit the restart button after the backup, and before I leave.

    Thanks for that info, I was on the phone with sage all day, most of the techs are useless. Apparently they say it can not be done, but their has to be a way.

    They say because the service items have been used on invoices it can't be done. Same as I can not delete the old services once i have inventory because it will mess up old invoices. Pretty much they told me to do a inventory from scratch and just make the services inactive.

    Not really happy with that answer.

    I exported my services and inventory hoping I could just change the service to inventory and import but its more then just the name.

    We have like 1000 items that should be under inventory but instead they are services. So I guess I have to start adding inventory 1 at a time and then make the service inactive, The crappy thing is, then it will effect all the price lists I assume ?

    Has to be a easier way.

    Tech support is correct about the service items that have been used on invoice.

    As stated export your services and change service to inventory. You also need to do the linked accounts which can also be done in the same file. It is relatively fast with using copy and paste for the repetition items. I am assuming you have 1 asset 1 revenue 1 COG and 1 Variance account only needed for the linked accounts for the inventory item.

    Price lists are done as a separate export/import.

    The import/export method is the best method and actually very simple and fast to do especially with using the copy and paste features of excel.

    Your services that you have used need to be kept for lookup purposes and audit purposes. As we all know CRA rules are records must be kept for 7-10 years from Assessment Date. So yes, you will need to keep the services, but make them inactive.

    Hopefully this makes things a bit easier for you.

    I just tested this with version 2017.1 Quantum, in the sample company - Created a new (Service) item, put some on a purchase invoice, put some on a sales invoice, then tried to convert from a service item to an inventory item.

    I was surprised to hear that you're having difficulty with this, because we've literally done this thousands of times, Joanne, do you know if this is a difference between the Premium and the Quantum versions?

    I'm no longer a Sage Partner, so I don't have all the Editions to test with.

    I also tries setting the item up as a Service 'Activity' and could still change the item into an inventory item.  I could not make it *not* work in the Quantum Edition.

    We just upgraded to 2017 Premium , if upgrading to Quantum is a fix, maybe we will go that way.

    There are many variables which can play out in Sage 50 with regards to services and inventory. It does make a difference if the version is Premium or Quantum to the services being greyed out. The variable in play from my further testing be it Premium or Quantum is the use of the Service in Time and Billing. As soon as a Service with Activity (Time & Billing) activated and has been used in a time slip the Service will be greyed out and cannot be changed to an Inventory Item. Please see screen shot.  I am in single user mode and all windows are closed etc etc.. 

    Therefore if a service has not been used in a Time Slip then it should be easily changed to an Inventory Item if you are using Quantum version, and from my brief testing it cannot be changed in Premium.

    Version 2017.1

    I hope this clarifies things a bit more.

    Have someone test it first for you Neil before you upgrade to Quantum...there is technically no downgrade. Also there is a price difference - Quantum starts as a 5 User license. Based on my brief testing yes it should work but needs to be thoroughly tested first!

    I can confirm that if a Service, Activity item has been used in a time slip in Quantum, it can NOT be changed to an Inventory item, there would be no point in converting to Quantum (other than some additional features that you may find useful)

    Your best option is to export your inventory and price lists, rework the item names, then import the ones you want to have as inventory items.

    Be aware that you will not be able to put any non-Activity items on a time slip.  Recording Materials and Labour from a single field document onto a single electronic document is something that most everyone doing Field Service would like to do, possibly it was set up this way because getting the bills out was a higher priority than tracking inventory.

    Forgive my ignorance but what is a time slip ? So I guess I should start by exporting my current inventory which consists of maybe 3 items, export the services file which has around 1000 items and then copy one of the current item lines from the inventory, paste it 1000 times and just replace the item name for each one ? its pretty sad tech support was so useless, I think they just google the answer's. I had to suggest the import export method and they said it still wont work. Glad their are people like you guy's. Thanks a lot Randy and Jo Anne

    I just copied the services items to the exported inventory, added the letter N at the end of each name for new, changes services to inventory and had to add one of the C.O.G.S numbers that didn't exist in services. It worked, Then I just have to add the N to the end of the price list names.

    I really wish I could delete the item's from services too. It just makes it look so cluttered. inventory item ,service item, inventory item ,service item lol.

    If you mark the items you no longer need as 'inactive', they'll be gone from most screens and reports.
