More room in description

Anyone else find that they need more room in services for a description?

  • To be honest your question is rather vague. We don't know where you are referring, so here are some options.

    1) On the invoice data entry screen you have 255 characters in the description field on each line. Sometimes I find this too small but I just break the description down so that it flows well on two or more lines.

    2) On the Inventory and Services Item ledger setup, the description has about 75 or 80 characters. Sometimes I find this too restrictive but I put in as much as necessary to identify the item without having to change much on the final invoice. If I need to add more, I just go to the end of the description after this information drops in and keep typing until I hit the 255 or just use the next line to add to the description.

    3) On the Inventory and Services Item ledger setup the long description is rather long and it can now be added to the invoice printout instead of or in addition to the regular description but it cannot be edited on the invoice data entry screen.

    If these options are not quite what you are discussing, please provide some more information. If you need more space, you can go to the top of this page under Ideas and ask them to change it. They did add the long description to invoice printing a couple of versions back to help out but getting the programmers to look at some of these things is sometimes like pulling teeth.

    Sorry I guess I was really vague. We fix trucks and trailers We are looking to make sales invoicing easier. One way to do this is have codes entered for different services done on the trucks and trailers. So I am now setting up services but the description only allows 75 characters which for the most part isn't long enough to enter the full description we would like on our sales invoices.

    Hi,

    As Richard suggested, you can add the 'long description' to the invoice instead. It can be up to 255 characters, but will go in a separate column so using just that column would require adding a 'long description' for every item.

    Setup | Reports and Forms | Invoices | click 'Customize Form'.

    Right-click in the body of the invoice, click 'columns'.   Scroll down, choose 'Long description', use the up-down arrows on the right to move it to the column you want to see it in.

    When you add columns all the widths get reset, so you're in for some fiddling with the column widths.

    When you're done, save the modified form in another folder - a shared folder if others will need it. 

    If  you're working on an Email form keep in mind the form filename will be the first part of the PDF filename, so no matter how frustrated you are with the limitations of the forms, just use something like 'INV-(your company name).

    You won't see or be able to edit the 'Long Description' on screen.

    Another way to go is 'recurring transactions' for common operations. These save the description if it's over-ridden with up to 255 characters per line.
