Project Reporting Only Goes Back 1 Year?

SOLVED

We have some 'straggler' projects from 2014 that are still active projects. It seems I cannot generate any Project Income report that uses a date earlier than Jan. 1, 2015 now that I have rolled over into 2016. That seriously sucks :(


Are there any ways to access data from 2014 projects that are still active?


My software version  is Sage 50 Pro Accounting Canadian edition, version 2013 release 4.

    When you rolled over to 2016 did you say yes to clearing the detail data when asked? If so the detail you are looking for has been deleted. If not the data should go back up to seven years in the PRO version from 2013.
    It is not a good practice to clear any data as it inhibits reporting in many ways. This is but one way.

    I did not know this - thanks!!! I will get my back-up and rollover again into 2016 and try this NOT clearing any data (I'll just re-enter the transactions thus far for 2016 - there are not a lot).

    I can see why it would not be good practice to clear the data, and on that note, going forward that is what I will be doing. Still, does there come a time when one should? Or I guess I should ask why would anyone want to clear the data in the first place, then? Maybe to keep the Sage 50 data file small?

    I was clearing the data since I am relatively new at this and did not know any better. If you have any other info around this, do share--I don't always find the Sage 50 Help feature, well, helpful.

    I think Pro is still limited to seeing only the current and previous years in Projects. I haven't tested this in years but just tried it and only two years show up.

    Clearing data has no effect as there is no option to clear Project data.

    The data is still in the file but there is no way to see the detail without custom reporting or upgrading to Premium.

    Hi Richard,

    Hmmmm, well thanks for that tidbit. I just might take a copy of the 2015 back-up to try to rollover into 2016 again, just to see exactly happens for myself. If as you say the Project data is no longer accessible back in 2014, well that'd certainly be disappointing to say the least.

    On the note of version, would you happen to know if a more recent version of Sage 50 Pro Accounting would give me what I need, instead of upgrading to Premium? Say, Sage 50 Pro Accounting 2015 instead of my current version of 2013, if such a version exists? I see that like most things, Sage 50 is going the way of the subscription model, too :( I'm not an 'early adopter' as far as that is concerned... have had my share of issues with the subscription model with Adobe and Microsoft so I ain't switchin' to that with Sage 50 just yet! LOL!

    Hi Richard,

    So I took a copy of the Sage 50 2015 files and rolled over to 2016 just to test things out... the first two prompts I got were:

    And then the next prompt asks about clearing data so I selected, "No"

    Having done that, I can confirm that I can only view/access the Project data from this current year 2016 and last year 2015... nothing earlier.

    In other words, if I want to look at Project data a couple of years back, it ain' gonna happen with Sage 50 Pro 2013 Canadian edition.

    That's the way it has worked for years. Project information is not part of the 7 years of financial data that Pro keeps/shows. It keeps it because if you upgrade to Premium it will still be there.

    You can see your data if you open your older 2013 or 2014 year end data file. If you need one report, you can always export that data to a spreadsheet to keep handy for the future, then just update it with the each current year's file going forward.

    The other option is to work with a consultant who can get you the reports from your file. Our version of the software allows us to take a copy of your file and upgrade it to Premium then run the reports and get them back to you if pdf or Excel format. But even in this case, the limit is still at most 7 years back.

    Well that IS interesting, Richard and thanks for that. You are quite knowledgeable on this... thank heavens for these user forums, not sure how else would I figure out this kind of thing :)
