Removing a Department code - Sage 50 message

When I tried to remove this Department code (we call it 0100 operating fund) from an account #  I received this message.  Do I have to clear the old data from the system when performing a year end close (Start New Year)? Is this the only way?

    I don't see a copy of the message you received but I imagine it would have been something about not being able to delete the department if it's been used in transactions. You would need to clear all the data related to that department before it can be removed. Do not perform that action until you have taken a backup. Then go to Maintenance --> Clear Data on the menu bar to see what options you have for clearing data by type. Clearing data without backing up first could mean deleting records you are required to keep in the event of an audit. Our firm will quite often use the Save a Copy feature at each year end and create a complete data copy named COMPANY_2016 etc. in an Archive folder for reference.

    Hi and thank you for your reply. Unfortunately, there were no options to clear departments to clear in the Clear Data by type. But even if I could, the department code is used with all of our chart of accounts, so I cannot remove the department code from one particular account because it used in previous transactions not only from the account # I want to remove it from, but the dept code is used in every transaction with every account number. Thanks for your help.

    Hi Pam. If the department has been used in all or most of your general ledger accounts, I would recommend waiting until your current year end is complete, taking a backup and saving an archive copy (just in case) and then clearing data for the prior year in order to be able to remove that department. You will need to refer back to the archive file if you have any questions about the prior year as you will lose the lookup data.
