Employee Advance Showed Up - Sage 50 Desktop

SUGGESTED

After rolling forward to a new year an employee suddenly had a payroll advance show up that was never issued and we can't figure out where it came from. The Employee Detail Report shows no advances ever being issued and the amount is very odd. The balance sheet account is at zero and I cannot override the amount from the employees profile. I also already looked to see if there was some strange miscoded entry but that turned up nothing.

    Hi  ,

Thanks for reaching out. Since the Employee Detail Report doesn't show any advances and your balance sheet account is at zero, it's understandable how this could be confusing.

Based on the details you've provided, I recommend checking a few things:

    1. Verify the linked accounts for Advances & Loans to ensure they're accurately selected. You can do this by going to Setup > Settings > Payroll > Linked Accounts > Incomes > Advance & Loans.
    2. If your file is in History mode, you might need to adjust the Opening Balance in the Chart of Accounts to reflect the actual amounts. After adjustments, ensure you use the Maintenance function to Check Data Integrity.
    3. If you're not in History mode, explore the Reports for Journal Entries / Transaction Details related to Advances & Loans, and see if there are any entries that might have caused this issue. It's possible that an entry was made in error and needs to be reversed or adjusted correctly.
