E-mailing pay stubs

I've posted this question before but haven't received an answer I can use.

It appears that Simply has added the ability to e-mail out direct deposit pay stubs. I process my payroll on Monday, print out the reports to check that everything is right on Tuesday (Don't want to over or short-pay anyone) and create my EFT file once all the checks are done.  I upload the EFT file to the bank and print out the pay stubs on Wednesday for distribution on Thursday.  On Friday everyone gets paid.

What I'd LIKE to do is "batch e-mail" pay stubs on Thursday, but I have yet to figure out how to do this.

Two questions:

1. How to you set the employee preference to receive e-mail stubs vs printed ones?

2. How do you batch-e-mail pay stubs?

Thanks in advance for your help.

  •  No this has NOT already been answered.  If you had READ that first post - and the first line of MY post which specifically I had previously asked this and "HAVE NOT RECEIVED AN ANSWER I COULD USE".

  • First off, when is it not ok to ask the same question?

I have been using the email feature for quite some time and it works well. I don't know about batch emailing them but maybe if you tried using Daily Business Manager that might? You need to add the email address into the employee's profile.

Personally what I like to do is password the paystub for each employee. Just being cautious. So I email it to myself and then email out to the staff once it's got the password on it. Would be nice if SAGE had that feature built in but I doubt if that's too likely.

I have been asking for this feature repeatedly!  Please request it as well.  The more of us that ask, hopefully someone will listen.  This is becoming a deal breaker for me.  Privacy regulations state that I cannot email personal information without some sort of encryption or password.  With over 50 employees it is not feasible to use the current "work around" which is to email them to myself, encrypt them, then email them individually.

If you are currently emailing pay stubs without any security, you may not be in compliance with current privacy regulations in Canada!  Certain industries are governed by PIPEDA (Personal Information and Protection and Electronic Documents Act) and one of their principles is:

    1. Safeguards: personal information must be protected by appropriate security safeguards.

Payroll Check Run offers a batch feature with a column for emailing a PDF copy of an employee’s paystub to their email on their profile (this is not encrypted).

I also checked in with our Sage 50 Product Manager regarding this. If more protection is desired then the only current method available would be to individually save the PDF paystubs to Secure thePDFs with passwords… cumbersome…

In our blog, GDPR, new rules for email attachments and personal data -- which came into effect in the European Union ( Are your employees European? Even if not, it’s best to err on the side of caution*) we explored how:

"Sending files by email poses a threat of personal data leakage for a number of reasons. First, you could send the file to the wrong recipient or forget to exclude certain recipients from a mass email. Second, cybercriminals might hack your recipient’s mailbox, gaining access to all the attachments in it. Consequently, sending unprotected files and storing them in your mailbox would violate the GDPR and may result in fines and lawsuits." - mapilab.com

Another note I have is that:

    • Personal data must not be transferred outside the country of origin without first ensuring that appropriate safeguards are in place in the destination country or territory. In the event of any data transfers, particularly those transferring data outside of Europe, adequate levels of protection must be in place for the data, usually in the form of International Data Transfer Agreements.

I would advise that the e-mailed transmission of personal data, especially confidential information is not secure and not recommended by Sage.

I know your response is 2 years years old but I'm just curious if you provided the password to your employees or did they each provide an individual password to you?
