    Customizing Reports

    BusinessVision utilizes Crystal Reports as its reporting engine. We have licensed a version of Crystal Reports which installs with BusinessVision, we give you access to the source of all reports, and we publish the data dictionary so that you can access all your company data.

    In short, you or a consultant can customize existing reports and/or create additional reports. Since Crystal Reports is a read-only software package, your data cannot be damaged in any way by using it.

    Important Notes

    1. You are not obliged to learn or make use of Crystal Reports. It is an optional extension to your software. The standard BusinessVision reports provide all the reports most standard businesses require.
    2. The run-time version of Crystal Reports ships with its own documentation. BusinessVision does NOT provide any support on this product. On the other hand, there are many third-party consultants, training courses, and books, that you can make use of in order to learn Crystal Reports.

    Customizing BusinessVision's Standard Reports

    This section presumes that you know how to use Crystal Reports to design and modify reports.

    You have a number of ways in which you can create or customize reports:

    • You can replace an existing BusinessVision report or form with your own version
    • You can develop new forms
    • You can develop independent external reports
    • You can develop up to 99 new reports for each module using filters and report options from existing reports

    Notes

    • Please test your reports thoroughly and ensure that the results they produce coincide with the standard BusinessVision reports. For example, if you enhance a sales analysis report, ensure the final totals agree with the totals in the standard sales report.
    • You should backup your RPT files to ensure that you do not lose all your custom reports if you have a hardware failure, computer theft, and so on.
    • When BusinessVision release new software versions, it is your responsibility to ensure that reports you write and customize take new database fields and database changes into account.

    To customize an existing report

    1. The BusinessVision .RPT report files reside in the REPORTS folder beneath the program files. Copy the report you wish to modify into the company data folder. BusinessVision looks for a report in the company folder prior to looking in its report folder. This lets you customize reports on a per company basis. Note that you must keep the identical report name in the company folder.

    Important Note  Never override the existing standard BusinessVision reports in the REPORTS folder. If you do this, and you install a program update, you will lose your customization.

    1. Customize the copy of the report you made in the company folder. Note that the replacement report must accept the identical parameters as the original report even if you do not make use of these parameters. For this reason, we strongly recommend that you copy an existing report rather than develop a complete replacement from scratch.

    You can customize forms such as statements to great effect. For example, you can put your company logo onto an invoice, and show additional information.

    To customize or create a form

    1. You can create a new form from scratch, or copy and existing form and modify it. The form must accept the identical parameters as the original form even if you do not make use of these parameters. For this reason, we strongly recommend that where possible you copy an existing form rather than develop a complete replacement from scratch.
    2. You can give the form any name you like. We suggest that you save the form in the company data folder.
    3. In the Printer Setup window, link the form to your report file. Note that you need to do this for each user on the system.

    To develop a new independent report

    1. The BusinessVision installation CD contains the data dictionary.
    2. Create and run as many new reports as you need to. These exist outside the BusinessVision system, and are thus your responsibility.

    Once you create a new report, you can link it into the Reports module. This makes it easier for users to access. In addition, you can apply filtering and report options from a standard BusinessVision report to the new report.

    To add custom reports to the Reports module

    1. In the Reports module, select the module under which you wish to assign the report, and select the Custom Reports tab.  Note that you can enable or disable access to this feature using the User Details window.
    2. Click the New button, or press Ctrl + N to create a new report. You can add up to 99 reports per module.
    3. In the Description field, enter an appropriate description for the report.
    4. In the Category field, indicate the category under which this report falls. When users list reports by category instead of module, this report will display in the category you choose.
    5. In the Report File Name field, enter the full path and name of the report file. You can use the Browse button to the right of the field to select the report.
    6. If you wish to use report criteria for your report, so that users can filter data and use other options:
    7. Select the Prompt for Report Criteria list box.
    8. In the Criteria Template list box, select the standard report that contains the criteria you require.
    9. Note that you must use the identical parameters in your report as the standard one. We therefore suggest that you copy the standard report and modify it.
    1. Click the Save button. You then have to choose whether the report is available to all users or just the user who created it. You cannot change this setting later.
    2. The custom report then appears in the list of Custom reports. When one or custom reports have been added to a module’s reports list in the Report Suite, the number of custom reports will be indicated in the title of the Custom Reports tab.
