Sage 50c Accountant Link - does my Main PC really need to be on to allow them to validate my accounts

I am a user of Sage 50c for a small sports club, we upgraded from Sage Instant Accounts 2014 to Sage 50c on subscription about 12 months ago, two of the key benefits being bank feed downloads and Sage Drive (not having to exchange backup files with the accountant at YE). However, I've just gone through the YE with the accountant and it didn't seem very 21st century at all. After my Accountant eventually mapped to my Sage Drive, they were unable to view my accounts unless Sage was open and running on the Main PC (but I couldn't be signed in). This seems to defeat the whole purpose of the Sage Drive, with the data being held in the Cloud - especially where the accountant only needs read access to validate balances.

I guess this could be a problem with the access rights I've given the accountant - but I wanted to post on the forum to seek guidance on whether this is indeed correct, or between myself and my accountant we've done something wrong. Does anyone have any previous experience of this or can offer any tips?

    Hi Adrian,

    The main PC does not have to be on in order for Remote users to view and process the data.  You would get a message advising you of this, but it will stress that if the main PC is disconnected from Drive (as opposed to just being switched off) then the changes they make won't be reflected.

    As the machine is just switched off, when it is back on again any changes made by the accountant will be updated to the live data straight away.  Do check that both machines say that Sage Drive is Online however.

    It terms of you being signed in, this would depend on the number of users you have for your program.  If it is a single user program, it means that only one person can be signed into the data at once.  However if you have a multi user program, you can have more people concurrently logged in.
