No data held for this report - Invoices

SUGGESTED

Followed the instruction in 22152, but our layout data is recorded in 2009, not 2019.   2019 does have DataRestores > Layout Backups001, but not in 2009   Tried using 2019 Data Restore, but still unable to obtain any invoices.   Data Restores are avalable in years 2014 to 2017 and 2019.

Really need to process invoices for today's sales.   Any help gratefully received.

    Hi Stuart,

    Thanks for using Sage City.

Can you confirm what the full version number of Sage 50 Accounts you're using. You can get this information from Help > About > Program Details > Version

The layout you're trying to run, is it a custom one? or a standard one that comes with the program.

If it is custom, do the standard ones work or do you get the same error?

    Ian,

    Version 25.1.121.0

It's a custom one, but with minor amendments from the original to reflect the invoice is from us, together with VAT, Bank details, etc.   Another, more detailed custom invoice (early payment discount) is working fine.

However, some of the "Sage" provided invoices are not working either, i.e INVDISA4 or TBE1D11.

As an test, I highlighted an invoice I need to print off, selected print and then selected a very specific customised retailers invoice.   To my surprise, the invoice that I've highlighted comes in preview, not the customised one and I can print it off??

    Ian,

My mistake regarding the last paragraph.   It did print off but used the format for the specific customised invoice.  Sorry.

    Hi Stuart,

    Thanks for that information.

Can you try and install v25.1.128.0 > https://downloads.sage.co.uk/download/?did=83c1cfe4-8bba-4bf6-8b38-f3b1e18526f0

This won't fix the issue straight away, you'll need to edit the layout. (This is more advance level so may be easier on the phones etc but here are the steps)

These steps make some assumptions that you don't use delivery addresses and you want to email to the default customers email address.

    1. After updating go to Print > Select your layout and press Edit

    2. Go to Report > Joins > Right click the joins screen and select auto Arrange > Top to bottom

    3. Delete the following tables > Letter_Type / Sales_Del_address / Communication Address > OK

    4. Report > Filter > Use Advanced Filter > Remove LETTER_TYPE.LETTER_TYPE = 6 > OK

    5. Report > Tools > Email Settings > To > Edit > Ensure it is SALES_LEDGER.EMAIL > OK > ok

    6. File > Save

    Try it again.

    Ian,

Wow.......Before I attempt this, a couple of questions.

Firstly, would it help if I just replaced Layouts and Batch Invoices (those that we have saved) from 2009 and replaced those in 2019?

Secondly, with all the updates why we've had are these files still in 2009 and are not transferred when we update Sage?

    Hi Stuart,

Hope those steps help, I realise they look complex and may find webchat or phoning us an easier way to follow them.

The layouts from any version should work. I wouldn't recommend replacing your 2019 layouts with 2009 layouts as it's likely we've made changes to standard layouts since then but you could copy your 2009 custom layouts back into 2019 providing you've made no changes to them since upgrading to 2019.

This depends on how you upgraded. By default when you upgrade your data / layouts stay in the same place so for example if you used 2009 and upgrade to 2019, the directory of those files will remain in 2009. If you did a new install and create a new company / restored from backup the new directory would be created in 2019.

    Hope this helps.

    Ian,

Have got as far as installing v25.1.128.0 and deleting from Joins: Communications Address and underneath Letter_Type and Sales_Del-address.   However, when I  go to the next stage, to remove LETTER_TYPE.LETTER_TYPE=6>ok in Report, there is no Tools in the drop down menu?

    Hi Stuart,

Sorry that's a mistake in my steps. It should read Report > Filter.

    Hi Ian,

After working out the spaces were needed in SALES_LEDGER.EMAIL > OK > ok, all functions (preview, printing, email, exporting) are working perfectly.

Many thanks for your assistance.  Much appreciated.

Great, pleased to hear it's working again.
