Bid Levy spending on different projects

Can anyone help me with the following

I'm trying to set sage 50 up for a company that gets different funding for projects, some of the funding overlaps into the difference projects.  I've tried departments but this isn't working correctly.

I need to be able to get an overall profit and loss report aswell as individual reports.

Please help.

You could try using Charity Funds.  Choose Settings/Company Preferences/Parameters/Enable Charity options.  This puts in some extra features which you can ignore if you are not a charity (eg Gift Aid) and enabling doesn't "do" anything to your data, but it gives an extra dimension by enabling fund codes.  This is an entirely separate analysis that sits alongside department codes.

When you post up a transaction you can enter a department number and a fund code. You can then report on the fund through very similar P&L and nominal activity reports but a fund report could span several departments.

There is one big difference between using departments and fund codes - the fund balances don't clear down at year end, they carry forward into the next year so you can report on activity across financial years.

If you try it and find it doesn't work for you, you can turn off the feature.

    Hi Anita,

I tried to switch and spoke with Sage help but firstly they said I shouldn't change the company to Charity if it isn't one and secondly I'd need to pay for training if I needed advise on how to make it work.  Although there are options for funding overlaps I would need some help with the way to post.

Well that's a pain. You will need to use departments then. If you have departments North, South, East, West and the Bid Levy covers several of those, consider setting up department BID North, BID South etc, then when you run P&L reports you can opt to combine, say, North and BID North into one report, or BID North and BID South.

Were Sage able to offer any useful alternative?
