Mid year new company payroll transfer

Hello. Our company have recently bought another business and it will be operating as a subsidiary of the main company. It will keep it's existing company name and PAYE reference. To this end I have been tasked with taking over their payroll which has been outsourced to a bureau for the last 18 months. This will involve obtaining the full YTD payroll data from the bureau and importing it all into a new company setup in our existing payroll software . Subject to the payroll bureau's terms they require 90 days written notice to terminate their services. Would anyone have any suggestions or experience about the ease/difficulty of setting up a new company "mid year" into Sage Payroll Professional Version 22.03 and obtaining data from a bureau so that it can be imported into this? Personally I think it makes sense to commence the payroll services from the beginning of the tax year as the 90 days notice requirements take us to mid February 2017 if we give notice this week. Any tips/suggestions gratefully received.
  • Hi Chris,

If you're setting up a company in Sage 50 Payroll part-way through the tax year, to ensure accurate tax and national insurance (NI) calculations, you must enter the year to date (YTD) values for all of your employees.

There are various reasons why you may need to enter employees' YTD values. For example, if you've started using Sage 50 Payroll for the company part-way through the tax year and have already processed your employees' wages either manually, using a different software package, or by outsourcing to a payroll bureau.

The best sources for employee YTD information are P11 Deduction Cards.

Ask Sage article 11256 explains how to enter year to date values for employees who are non-directors.

If you need to enter year to date values for any directors, you can refer to Ask Sage article 11449.

  • Hi Paul. Thanks for your response. Can this YTD information be easily imported via a CSV file to populate the appropriate fields in the payroll records along with all the other data needed to create the payroll records for the new business?
  • Hi Chris,

Yes, you can use Comma Separated Value (CSV) files to import employee information, including YTD figures, into Sage 50 Payroll.
