RTI processing of employees already on hold prior to the new tax year.

We had 2 employees already on hold for a few months at the year end. They are students who we expect to return in their next holidays. Do we need to include them in a FPS submission at the start of the new tax year to confirm to HMRC that they are still on hold? They are not selected in the weekly payroll run but they are automatically selected for the FPS submission and we are being asked if we want to exclude them.

  • Hi Russell,

As it’s your first FPS of a new tax year, you should select to include these employees in your FPS. This will inform HMRC that they’re still on hold with you for the new 2016/2017 tax year too.

The employees will then not appear on your subsequent FPSs for this tax year, until you pay them.

When you take them off hold and pay them for the first time in the new tax year, a message appears:

'Some of your selected employees have not been updated for the last period in the 2015/2016 tax year. Processing and updating them in the 2016/2017 tax year will make some of the previous year's YTDs read only.'

    To continue > OK.

  • I have the same situation.  I've already processed week 1 but didn't include that employee on the FPS.  Is it okay to include them on the next FPS?
