Old employees

Hi, for a number of reasons I have employees inherited who are either on long term hold or who are just inactive. How do I deal with see employees in terms of deleting from my system? No p45's have been issued and some go back to prior payroll years. Many thanks, appreciate all the help I get through this forum.

    If you have employees that are still on your payroll but havenâ€Tmt been paid for a while and you suspect that they aren't returning to your employment, you can make these employees leavers.

    If the employeeâ€Tms leaving date is in the current 2014/2015 tax year:

    First, you should decide if a final payment is due to this employee. If it is, you should take the employee off hold and pay them the final payment in your next pay period. You must then mark them as a leaver, using the actual date the employee left and produce the P45. You can then submit the FPS as normal to HMRC to notify them that the employee has left.

    Or, If the employee isn't due any further pay, you can simply take the employee off hold, mark them as a leaver, produce the P45 and then submit an FPS adjustment.

    If the employeeâ€Tms leaving date is in a previous tax year:

    Take the employee off hold and set their tax code to 0T on a week 1 /month 1 basis. Then pay them 0.00 in your next pay period. You must then mark them as a leaver, using 06 April 2014. You can then submit the FPS as normal to HMRC to notify them that the employee has left.

    For the employees who havenâ€Tmt yet been updated for this tax year, you can take them off hold and make them a leaver without needing to submit a P45 for them.

    For the employees who have been processed in the current tax year, you will also need to take them off hold and make them a leaver. Once done, the P45 information will then be submitted to HMRC as part of your next FPS.
