E-marketing: how do you manage opt-out lists?

Hi guys,

Does anyone know how to manage several opt-out lists in SageCRM with the swiftpage integration (7.1sp1 or later)?

With the integration we can click in the footer of the mail in order to be opted out of any emails. It means you won't receive emails anymore. How can we manage this list (if someone wants to opt-in again?)

This solution is for one unique list.

But if I want to manage different subjects/interests, I would like an opt-out for only one subject. Not for all emails... Does anyone have a solution for this?

I have another question about interest management.
How do you manage this?

  • I add a field "interested in computers" in the person screen or add key attributes
  • I create the Group "computers" (dynamic or static?) with all people having interest in computers.
  • I send e-mails with Sage e-marketing integration (swiftpage)
  • E-mail N°1: 2 opt-in options: interested in computers or interested in flowers. 10 people say they are interested in Computers, 5 say they are interested in flowers. => I make a (temporary?) group with people that clicked on computers optin (computers1). Then I open the group "Computers" and add records from another group (the one I have just created).
  • E-mail N°2: 3 people do an opt-in for computers => I make a new group (opt-in computers2) + go the group "Computers" and add records from my new group (opt-in computers2). Do I delete these temporary groups?
  • E-mail N°3: 4 people do an opt-out for computers => It's going harder... How do I get these people out of my group "Computers"?
  • How do I make the group with people interested in computers but not in flowers?
  • How do I make a group only with people interested in computers and flowers?

Other Example:

I organize trainings. I make a group for training1 and send a first email to invite the 100 people of the group. 5 people say they don't want to receive emails for this training. 10 people have signed in.

I want to adapt the group by removing the opt-outs and adding 20 new invitees.
Should I create a new group to send a reminder to 105 people (100 - 10 optout - 5 signedin + 20 new invitees =105 people)

I hope you understand my examples. They are standard examples but seem difficult to manage in SageCRM.

    How do you manage the addresses from the opt-out list?

    And more important question how do you manage several opt-out lists?

    I can't imagine nobody has the same needs?

    Hi Jerome,

    The opt out lists are handled by Swiftpage.

    You get a link at the bottom of the email like:

    Sent to: [email protected]
    If you prefer not to receive
    future e-mails of this type,
    click here

    Which brings you to the Swiftpage site and you get message:

    “Your email address [email protected] will be excluded from future mailing of this list within the next 24 hours. “

    You can check which email addresses have been added to the opt outs by going to: www.swiftpage.com/sageemarketing

    Log in using your e-marketing username, account name & and password

    Go to Reports > Suppression Data

    Put in your account password and click View List.

    You can check if the email address that is opted out is present on that list.

    According to Swiftpage:

    “Once an email address is has been opted-out or suppressed, no Swiftpage emails will be sent to that address, even if the email address still exists in your list. Swiftpage maintains a separate opt-out list and checks it against all future email blasts you send.

    To remove an email address from your opt-out list, simply send an email to [email protected] with your Swiftpage account name and the email address(es) that you would like taken off of your opt-out list (i.e. "opted in").

    If you are requesting to have more than 10 contacts removed from your suppression list, you will need to provide proof of those opt in's. To do this, please have them contact us directly by phone or if the recipients sent you an email asking to be included on your list again, please forward those email to us. Either way, once we have this proof, we can remove multiple email addresses at a time.”

    JDH, sounds like you need functionality found in most Auto Responders. Aweber.com does what you need to do, however, it does not integrate directly with SAGE CRM.

    SwiftPage is definitely not a feature rich Auto Responder but it integrates nicely with CRM. I have used both SPE and AR with decent results.
