Cash Receipts/AR_OpenInvoice Issue

SOLVED

We are on Sage 100 Advanced ERP 2014 (v.5.10.1.0) and are running in to a semi-common issue in Cash Receipts Entry. I am not sure exactly how this happens but probably once a month we will attempt to receive payment for an invoice, but it will appear that the invoice is either partially or fully paid. I have tracked this down to a field in the AR_OpenInvoice table called PaymentsToday. This is the only field in all the AR tables that seems to show a "payment" for the invoice, changing the field to the correct amount through Data File Display and Maintenance fixes the issue but I am wondering why this keeps happening. We have a very experienced accounting team and I do not believe it is something they are doing but I suppose anything is possible.

Rebuilding the sort files, does NOT fix the issue.

Has anyone else seen this issue? Is rebuilding the key files the next logical step, and if so are there any concerns when rebuilding key files?

Any help is appreciated!

I have posted this before as to why or rather how this happens. I have duplicated it and I'm pretty sure this is why it happens.

Within Cash Receipts you have the entire Cash Receipt, Individual Customer Distributions, and Lines within the Distributions.

If you delete the entire Customer Distribution or the entire Cash Receipt without first deleting every line within the Distributions, it almost always causes this problem.

Since instructing my AR person to do it this way, I have never had this happen again.

Also you can run ARWAR4 instead of going into DFDM to fix it.

I really appreciate the answer! I will let the accounting team know, ARWAR4 seems like a good utility to run, it looks like everyone has to be out of the system though.

    Joe,

Interesting info. I know this problem has been around forever. Seems like it is a random thing when deleting a batch. Sometimes I see it happen other times not. However, it's not the most common thing to delete a batch either (at least for me) .
