AR Invoice History file size limits or performance hits

Looking to see how big AR Invoice History Header and Detail files can get before there is a performance hit or a file size limit.

We are looking at importing AR invoice details going forward in 2024, instead of a 1 line summary per invoice (actually they'll be CM), which could have 3-50 detailed lines.  Or approximately 47,000 line details per month on average, based on history, which could double by end of this year.  Currently our AR Invoice History header file is about 304MB and Detail file is about 390MB in size.  I have history purged back as far as I can, 10 years.  I'll have to create several new UDF's for the detail information they want to capture, so it won't just be the standard fields in the AR Invoice History Detail file.

So my question is...What file size has anyone dealt with as far as these 2 AR history files go?  When has anyone seen a performance hit with either simple data entry, opening screens, running standard reports, running customize crystal reports, in AR, SO, IM, etc?

I don't want to say 'Yes' we can import all this detail just to hit a brick wall by year's end.

We are on Sage 100 Advanced v2022.

Thanks for anyone's input and any advice.

Take a look at Sage 100 Premium (SQL db).  You won't loose any sleep over speed or size issues.

    Greetings,

As of Sage 100 Version 4.40 and above for Sage 100 Standard and Advanced, the files can be as large as approx. 28 gig.  Sage 100 does this by creating file segments for individual files when the files grow larger than about 1.8 gig.  At this point, you will see the files segment so there will be the primary file and then the segmented files like:

    AR_InvoiceHistoryDetail.M4T

    AR_InvoiceHistoryDetail.M4T.001

AR_InvoiceHistoryDetail.M4T.002 and so on up to 15 total segments

For operating purposes, Sage 100 treats the segmented file(s) as if it is one large file so there is nothing special that needs to be done.

For files that grow this large, you may notice some delays with certain processes if trying to access all the data like running a history report for all invoice detail.

If it is just a couple files that you expect to be over 2 gigs, then Sage 100 Advanced should be fine for you but if you have multiple large files or you want to ensure best performance as BTMLINESOFT mentioned, Sage 100 Premium may be the better option.

    Thank you,
    Kent

Thanks for the input, much appreciated.  Instead of going to Sage 100 Premium, I would like to think we should go to Sage X3 or Acumatica.  Anyone have an opinion on either one of these?

Changing ERPs is a huge undertaking.

Changing to Premium mainly just needs SQL licenses (+potentially new Sage 100 licenses)... and the technical switch is a similar amount of work to an upgrade.  Users won't see any functional differences (aside from things like Excel queries).

Thanks Kevin.  But we are a manufacturing company that is growing quickly and Scanco's OM is quite cumbersome to work with that X3 and/or Acumatica seem like they'll be able to handle our growth and workflow better.  But I am open to any suggestions you or anyone else may have on the matter.

This is a Sage 100 forum and you'll probably not find much expertise here related to other ERP's.

Understood Kevin, but I've seen some consultants I've dealt with over the years that I'm hoping may have some insight into this matter.  It's going to be a big jump whichever way we go.  Thanks for the SQL information though.

The devil is always in the details and the salesmen know how to make it sizzle.  Just ask a MAS 90 user I am working with who was convinced that Netsuite was the way forward.  18 months later and $100K down the drain, he is rethinking that decision and is seriously looking simply upgrading Sage 100.  Upgrading to Sage 100 Premium is as Kevin says, getting Premium licenses (usually NC) and migrating to the SQL database.  Your users will hardly notice the change and your original issues noted above will be resolved.

Now you bring up Scanco OM issues.  My first thought is does your reseller EXCEL at OM?  If not, perhaps you should find a quality OM specialist to sort through your concerns.  A good specialist makes all the difference in OM.

Just my .02.  It will be well worth your while before throwing the baby out with the bathwater.
