Sage 100 2018 Payroll Crystal reports - can they be converted from reports written in Crystal 2011 and show Employee PII fields?

SOLVED

Has anyone found a way to use Payroll reports written in Crystal 2011 with Personal Information and convert them to Sage 100 2018 Crystal 2016 with the new Employee PII fields? Followed article KB88325 but that is only for newly developed reports in Crystal 2016.

i'm assuming the mascrw.exe didn't convert table names like it did for AP and AR.

in a report, in database manager you can point the report to a new table.  In theory if the fields names were the same then it should work.

There are some very dramatic changes in the crystal report format in the change from legacy to the business frameworks model so you have to recreate from scratch.

We were able to change the database location to point to the new tables and map the fields (as needed).  Then link in the PII table (we found that has to be before the Employee file in linking).  Remember when adding to the Payroll Custom Reports menu to check the "Create the PII file" message.

You then MUST have payroll reports on the payroll custom reports menu for them to work and provide data.  Payroll reports can no longer be run off of other module Custom Reports menu's (or from straight crystal reports) if employee data (found in the PII table) is required (and that is all the reports we have come across so far).

Another item of note:  the Payroll Perpetual History has been replaced with just Payroll History data files, but there are 3 of them now (Payroll History Detail , Payroll History Header & Payroll History Tax Detail.  So if you have reports build from the old payroll perpetual history that includes tax detail you will have much more work because you can only link / map 1 to 1 old to new tables.

    Greetings,

Here is the product help documentation for the Sage 100 Report Manager about including the PII worktable that I have pasted below. There is also a help topic titled "Security for Personally Identifiable Information" that provides an overview on how PII data is handled in Sage 100

Use Report Manager to manage all forms and reports. Select a form or report to customize using the SAP Crystal Reports Designer.

The Report Manager window lists all modules that have forms or reports in a tree view. Expand the module to select the available forms, reports, and custom reports. All forms, reports, and custom reports are listed in alphabetical order.

You can also add and delete custom reports. When you click Add Report to Menu, the Menu Wizard opens and guides you through the process.

Note If you select Payroll from the Module list, the wizard includes the option to include a PII worktable. This worktable allows you to include personally identifiable information (PII) for employees, such as names and social security numbers, in the report. If you include the worktable, it will be populated with unencrypted, masked data when the report is run from the Payroll Custom Reports menu.

If you include the PII worktable, you must link the work table to the existing report tables and insert the PII data into the report.

Anyone who has rights to run the report will see the PII data. As with the standard reports, the ability to view Social Security numbers, bank account numbers, and bank routing numbers is based on the "Allow Viewing, Printing and Editing of Personally Identifiable Information" security event in Role Maintenance.

    Thanks,
    Kent

There is an Anytime Learning course on Sage U that illustrates how to write reports with PII
