It is not uncommon to use Item Number Change to merge the items that you want to clear out into an item called ZZZZZZZZZ (or whatever your structure supports). That allows you to clear out the history and it make it relatively easy to keep that item out of your reports.

Do not delete items, that creates problems. Use item number changer to merge them to ZZZZZZZZZ as Django posted above.

The Item Number Change utility allows you to do three things: Copy items to create new items, change an item's number to another number and merge two items into one. Using the merge functionality you'll first create an item number in your system using a code that is easy to exclude from your reports (e.g. ZZZZZZZ (the length of your item code depends on your setup)). Next, using INC, you'll merge your existing item numbers into the ZZZZZZZZ item. You'll backup your database and then post the INC changes. INC will go through all of the tables where that item number exists and change it to the ZZZZZZZ item number.

Where Is the INC located in the system? Is there any way to exclude all these unwanted old item numbers from Aged Inventory report? Thanks so much

Customize the RPT file with Crystal

By creating an item with the code 'INACTIVE' you've placed it right in the middle of the range '' to 'ZZZZZZZZ'. So you can take Jay's advice and modify every one of your inventory reports to exclude item 'INACTIVE' or take the original advice and make an item called 'ZZZZZZZZ' and then, when running any report, you can change the range to '' to ZZZZZZZZY and your consolidated item will be ignored.

Sorry - to be clear - Jay didn't suggest modifying every report - just the one you're concerned about.

If I wanted to modify the Aged Inventory crystal report, where is the setup in the sage ? Under report setup? I'm a newbie I need more detail direction please thanks everyone

Use the Crystal Reports editor. But it's not for newbies. The ZZZZZZY idea is better.
