Ability to change the Extend Price Calculation in Order Entry

Hi,

Is it possible to change the Extend Price Calculation in Order Entry?

Right now, our products are sold by the item number and the length. For example, a wood pole may have an item number called,"WP". We cut the WPs based upon the customer's request. In Sage 300, we have to create a new item number for every length. This creates several item numbers in our system. Right now we have WP1 to WP50 for each length we cut the WPs. The number represents lengths from 1 foot to 50 feet. In our system, we show 50 items, but we really only have 1 item that we cut to order.

To make it easier, we would like to create a custom field called LENGTH. We then would like to take that field and use it in the Extend Price Calculation. For example, the standard calculation is QTY * PRICE = EXTENDED PRICE. We want to change it to QTY * PRICE * LENGTH = EXTENDED PRICE. Is this possible? If so, does anyone have recommendations how to do this?

    No, you don't "have to crate a new item number for every length". Set the stocking unit to the lowest common unit, i.e., Inch, then price by the inch, sell by feet, and the math is automatic.

    Thanks for the response, but that will not work for us since we may sell 5 WPs at 10 feet. If we put 50 feet, it will confuse the customer since they will think it is only 1 WP at 50 feet. On the invoice, we want it to show 5 WPs at 10 feet each for $3 each foot = $150 Ext Price.

    Yes, it will work perfectly. Use multiple units of measure. Inch is the stocking unit, but 10 feet is the selling unit, with 120 as the conversion factor. Make as many selling units as you need.

    Thanks, but I don't think you and I are on the same page.

    How would you show 5 pieces of WP cut 10 feet long at $3 per foot on an invoice? I need all 3 components to show on the invoice.

    I'm waiting for your lightbulb to turn on. You can also price by the foot. It's the same theory as stocking by each, and selling by the case. Or the pallet.

    I understand your suggestion, but then we would have to create a UNIT of measure for each measurement. If we did this, we would have to create 1 to 50 feet and any custom measurements such as 3.25 feet, etc.

    We are looking for a solution where we can manually enter the quantity, length, and unit price on the fly. We want it to be very simplified for our sales people without having them add or modify any UNITS of MEASURE. We are more concerned with the ease of use of taking the order.

    Yes, there is a way to create a custom field called LENGTH and use it to calculate the extended price. It's called Unit of Measure inside the software.

    I recommend you try Jay's suggestion before dismissing it. You might find it works quite nicely for you. If after trying it you don't like it then feel to ask for other suggestions.

    Thank you for your suggestions. I appreciate the suggestions and I am sure it will work in most cases but we do not want our sales people creating the units of measure since there will be too many units of measure to create. The other issue is that you cannot create a UNIT of MEASURE on the FLY if we wanted to do this, but ideally, we do not want sales people creating any new units of measure. We also do not want to create all the possible combinations either.

    All the responses are appreciate and I hope I am not offending anyone. The owner wants what he wants. I hope you can understand where I am coming from. If there is a better way without doing any additional steps, it would be appreciated.


    Ideally, we feel we just want the custom field to be part of the calculation to create the extended price. Any instructions would be appreciated.

    There's no way to see the calculation on the screen unless you buy a custom programmed screen. The only way you can have the calculated extended price using the method you desire is to do the calculation in the Crystal Reports Invoice form.

    You can't - unless you write your own order entry program.
