Copying a company with date range

SUGGESTED
Posted By FormerMember

I recently purchased a company running Sage 50 and I want to copy the company data and rename it with new business name.  The issue is that I want to copy only the data starting July 1st.  Is it possible to copy, backup or restore with only a specific starting date?

You can easily copy a company but you can't select a date range, you will get the entire company. To copy a company you can either copy the folder that the company is stored in, or just make a backup of the original company (File menu > Backup) and restore it taking the option to restore to a new company. With either method you can rename the new company by going to the Maintain menu and choosing Company Information.

You can purge history from a company. It's not a perfect process but it would get rid of most of detail from closed years. Assuming you use a calendar year, all detail would remain for January-July of this year.

If you really want only beginning balances with no history you need to create a new company. The knowledgebase article How do I rebuild a company? explains how to export data from one company and import it into another. You would follow the steps to create a new company and export/import maintenance records. But you would need to manually enter starting balances for GL, customers, vendors, inventory items, etc.

Certified consultants, (like me) can help you with this process for a fee. But if you want all of the balances exactly as they are in the original company it may not be worth the time and expense. I recommend you ask your CPA if it's necessary of not.
