Printing GL #'s on Check Stubs

SOLVED

Hello,

We recently switched from Dac Easy 2014 to Sage 50.  Previously, we could print the "paid from" GL numbers  on our check stubs.  I have scoured the internet and manuals and can not figure out if this is possible in Sage 50.  Any suggestions?

Thanks,

Kate

If you are on the accrual basis,  the account number would be your AP account number.  Is that what you would want to show?

If you want the expense account number on the stub, you will have to manually enter it.  Sorry

Yes, we are looking to print the expense account.  Is there a way to add a custom field to allow for us to enter it and print it on the stub?

The GL account data field is indeed not available. The only way to get that would be to use some kind of workaround, like entering the GL acct in the description field.

We're able to do that with some checks, but if there is a split, which the majority of ours have, that still won't work.

    Using Sage50 Quantum 2015.

Same frustration. Especially if you've changed from cash to accrual, know what you were used to seeing.

We Created a work-around as follolw:

    1. Enter the Vendor Bills or Invoices, coding the GL accounts, AP dates, etc.

       a) Hint - Main menu:  Options -> Maintain Global Options -> General Tab.

Under "Line Item Entry Display" Select the radio button for "2 Line"

          OK to save changes

This will list both the GL Account AND the COA GL Description on the screen when enter/change GL accounts.  Great for non-accountant key entry folks.

    2. Run the Purchase Journal Report to get the detail that you're looking for.

         a)  Select current date or range and run the basic report

         b)  Click on Columns Icon to customize as follows and includes:

                - Vendor ID | Transaction Date | GL account ID  | GL Account Description | Invoice/CM# | Line Description | Transaction as DR/CR

                - Move columns as you like, add other if desired.

    3.  Save it as a custom Report (ex: Purchase GL Detail by Vendor)  size page as required (landscape/portrait)

    4.  Run the report by Date or Vendor with the Group of Bills entered if entered and/or paid by group voucher.  Or just run individually, by date, etc.  and cut/attache to the respective Invoice to be paid.

It's not as tedious as it appears at first glance. Save as a "Shortcut" on your "Dashboard".  Pull the custom report quickly, change date/range or select vendors and run/print.  Boom!

Hope it works for you as it has for us.

Thank you!  I've got the report set up and I think this will work for us.  Our only other option it seems is to manually type the GL # into the description field, which takes away from our description of course.  I REALLY miss this feature and don't quite understand why, with ALL of the other customization, Sage doesn't do this when Dac Easy did.  O_o The world may never know.   Thank you for your help!
