Import from past company

Has anyone ever needed to enter a "mountain" of data into not just one, but two, companies?  Is there a way to copy just that information to the second company?

    We have copied companies and used the "2nd" for tracking sample products that is lent out and return/kept.  We do not use the "2nd" company for financials.

    used the backup company and restore, in restore be VERY CAREFUL, RESTORE to DIFFERENT COMPANY NAME   --->  XXX  to ZZZAccounting (see if you get the movie reference.)

    We make a new company every year and add the year "2022, 2023, etc" to the end of the company name.  Problem is, this year, we discovered quite a few entries still needed to be made in the previous company, but we had already moved forward in the 2023 company.  We were hoping to not have to put the journal entries in twice......

    There is no option to just copy data transactions from one company into another.  Depending on what you are trying to bring over, some data can be exported out of one company and imported into another.

    How many months of data are you keeping in your company data files?  Ours are at 3 years & GL is 5 years, the example is 24 months (below)

    if your data files are setup to store for 36 months or more, then I would add your "2022" changes to the 2023 data file , and then save a new backup and RESTORE under a new name as "SAMPLE2022NEW" and if possible rename the old 2022 file SAMPLE 2022OLD. This file would contain 2023, 2022 and 2021 data plus all the additions you have made into 2023  and then continue to use the current 2023 file set

    Not knowing your end of year month JUNE, DECEMBER  etc, (its is currently October2023)  the amount of data that BW removes during a month close procedure a smaller then 36 month data file may be removing data on each month's close procedure.

    PS  I would not recommend a data file to be set to more then 60 months (<$2M/Y) for a small company and 48 months for big companies($10M/Y), you may bogg down the server at end of month.  - Check with SAGE if you dissagree

    FYI  I do not use the current year in our data files, I add a "Z" {company nick name}YYYY  ex   ZABCD2019 to the restored backups from the last day of the operating year (December 31 or closest last day of the work year). Why RESTORE? BW does not give your USERS access by default. And this prevents accidental modification of HISTORIC data., I have a special user created for the LOOKING AT of historical company data.

    The timing of creating the archive/backup company is the key for each user’s company.  Some customers find it is best to create the archive/copy company just before they close the month since at that time, all the entries should be entered.  But that may not work out for all companies.

    If you find yourself needing to enter several entries into your current and archive company, Vince Settipane had a good suggestion to enter them in your current company, then create a new archive/copy company that has the additional information, i.e COMPANY2022REVISED.

    Also, if you use the Utilities, Maintain Company option to copy your company, there is an option to ‘Copy user security’.  This will copy the users security from the original company into the copy company.
