How to Unbundle a Group of Fixed Assets

I am currently conducting a physical Assets verification and tracing the assets to the Fixed Assets Register. I have just discovered that 100 Chairs were bought and the Accountant then assigned one asset number to all the 100 chairs. The question I have is how do I deal with this so that I can assign each chair with its own asset number? the issue is even more complicated in that the currying value is now Zero

    Hi, Fitzpatrick,

    Here is one way to handle the matter. 

    Perform the work in the Depreciation program.  Before proceeding, however, note the Current Through date in each book on the asset record.  In fact, it might behoove you to print a copy of the Main tab so that you have a reference in hand in the event you need to review the information later.

    First, edit the original asset record by changing the quantity to one and the acquisition value to one percent of its current amount.  Do this in each book and make the change effective from the placed in-service date.  This will erase all existing depreciation.  Then, replicate the asset 99 times.

    Next, depreciate all 100 assets in each book through the Current Through date that was indicated on the record before.  This will bring all 100 assets up to the same point where they were sitting when depreciated collectively on one asset record.

    Perform a final edit on the Asset Id field (or whatever field you are using for your tag number) to indicate the new tag number you are assigning to each of the 100 chairs.  Using the Custom Import feature with the update option might be the best way to accomplish that.

    After I posted my recommendation, one of my colleagues, Lawrence, brought to my attention that you should first create a backup file.

    And that's a good idea because it will give you a protective fall-back position in case things should go awry while following the procedures I delineated above.

    Fitzpatrick,

    I guess the real question is why would you want to burden yourself with individually tracking so many chairs? To save your sanity and for the sake of simplicity, just go do a count of the chairs and adjust the quantity accordingly in the system. You said it yourself that the carrying value is zero, which is about how much time you should spend on this.

    Don't create extra work for yourself when you don't have to.
