Update Field List with Upload

Hello -

Our company is switching ERP systems and iI need to update the GL account fields for all assets.  Is there a way to update what is in the system already for just those specific fields by way of an upload instead of having to go in and do it one asset at time?

    Tom,

    Actually, there is more than one way to update your general information fields without having to do it on an asset by asset basis.

    One way that I think would  work well in your situation is to use the Custom Import.  But first, you will want to create a spreadsheet with all of the assets in your company.  Perhaps the easiest way to get started is to use the Export to Excel button at the bottom of the screen when in the Asset List view.  Then open the Excel file and make the changes to the columns with the G/L account values so that they are in line with the convention required by your new ERP.   Simply ignore the other columns and only edit the data values that need to be changed.

    Once you’ve got the file edited to your satisfaction, use the Custom Import.  This is available in a couple of places.  One place to access it is in the upper left quadrant of the working area of the System Administration function where the tool says, “Import Assets into a Company.”  Clicking it will open a 7-screen wizard.

    In the 2nd screen, you will navigate to the appropriate folder and select the Excel file you just edited, i.e., the one containing your source data with the new G/L account numbers.   In the 3rd screen, you will select your company.  And in the 4th screen, you will change the radio button to the Update Asset option.

    In the 5th screen, you will go with the default to create a new map, and in the 6th screen, you will actually create the map to be used for your import.  Here, it is important that you include the System Number in your map.  This will be found in Column A if you created your spreadsheet as I suggested.  Then map any of the other columns containing data that you’ve altered such as the columns with the new G/L account numbers.  Save the map, and perform the import from the final screen.
